Job Summary
This is a part-time role of 22.5 hours per week to be done over 3 days.
PML is seeking a Training Co-ordinator to support the co-ordination of all training for junior doctors/clinicians coming into the practice. Reporting to the Call Centre Team Leader, you will play an integral role in professionally supporting colleagues to ensure the training and educational routes for our junior clinicians are planned meticulously, using your planning skills effectively to attain successful outcomes for all concerned.
Your responsibilities will include providing comprehensive administrative support to the Lead GP responsible for training of junior doctors and other clinical trainees, as well as co-ordinating the rotas of all concerned to ensure the efficient day-to-day operation and management of the trainees and the doctors mentoring them. You will self-manage your workload and systems and work in consultation with relevant members of the team. All training information and rota details are to be maintained accurately to ensure all training records are kept up to date and all training is completed on time.
Main Duties of the Job
* Issuing and circulating all training-related correspondence, plans, rotas, and meeting invites as required by the trainees and their clinical or educational supervisors.
* Co-ordinating and arranging the required training activities within the practice for all trainees.
* Inducting new trainees into the practice, introducing them to the team and their supervisor.
* Acting as the main point of contact between training providers, GP supervisors, department managers, and the trainees.
* Co-ordinating communication between the universities and supervisors to provide a cohesive understanding of training requirements for all concerned.
* Collating all information from relevant GPs and teams to organize and plan training dates within the rota on a weekly/monthly/annual basis.
* Documenting the trainees' training activities throughout the year to ensure compliance and successful completion of all elements of the training while at the practice.
* Co-ordinating the trainees and GP supervisors' rotas using the operational rota management system to ensure the right time is available and allocated correctly.

Job Description
* Map out annual training plans for GP supervisors and trainees in conjunction with college/training providers' requirements and working closely with the GP supervisors for each trainee.
* Ensure compliance with the junior doctor contracted hours and new GP contract training work schedules for full-time and less than full-time trainees.
* Ensure training programs/plans are delivered in a timely manner.
* Provide necessary information to trainees about their individual training sessions.
* Prepare and order any educational aids and materials that may be required for a training event.
* Maintain and update training records in line with the training providers' requirements.
* Co-ordinate induction plans for each trainee, introducing them to the relevant teams, their GP supervisors, as well as explaining their training schedule and rota systems.
* Manage and maintain any in-house training facilities and equipment.
* Seek and gather information from trainers, trainees, and other departments regarding the effectiveness of completed training sessions and collate feedback forms for sessions and for the placement.
* Provide any printed and instructional materials to be used in any training events/sessions as directed by the GP supervisors.
* Develop internal materials to be distributed to the trainees regarding the training and what will be expected while they are at the practice.
* Assist in planning and implementing each year's training sessions for each trainee.
* Assist with the development of training aids such as manuals and handbooks.
* Map out training plans for individual trainees while they are with the practice.
* Handle logistics for any training events including venues and equipment.
* Establish and maintain relationships with the external training provider.
* Record any spend and total cost, creating a report for review by the Clinical Lead.
* Liaise with finance to ensure all financial claims are completed for each individual trainee and supervisor, including training grant, CPD payments, and ESR claims.
* Co-ordinate diary management for all trainees and their mentors.
* Arrange all the training slots for each trainee, using their individual training schedules with the rota management system.
* Monitor study leave and annual leave for the trainees to ensure it meets the contractual requirements.
* Organize the GP supervisors' sessions to accommodate the level of training needed by each trainee and to be compliant with the training regulations.
* Co-ordinate and understand the various elements of training for each trainee, including level of patient access, external training, and any training away days.
