Family friendly flexible working arrangements, such as hybrid working, job sharing, flexi-time and compressed hours can be requested. Minimum of 3 days in office for this role is expected due to the team’s in-office presence.
Job Introduction
Depending on which function the role is based within, the Co-ordinator will have different additional skill sets in either: project management, programme management, PMO, or change management.
Key Responsibilities
* Create reference documentation used to manage the project and support preparation of relevant documentation (including finance cases, plans, and procurement documentation).
* Provide a high quality, user-friendly document management system and ensure adherence to it.
* Organise and minute meetings and chase up progress with actions.
* Organise travel arrangements, manage purchase orders and invoices and support the team with procurement activities.
* Develop and maintain a governance calendar that influences project activities.
* Act on occasion as a workstream manager or an assistant project manager on small workstreams/projects, taking responsibility for predefined tasks.
* Support the on-boarding of new project team members and help them to access information and settle in quickly.
* Maintain a communications plan, organise communications activities, and support the project manager in delivering communication initiatives, including assessing impact and value to ensure continuous improvement.
* Support the project manager to build and maintain strong relationships with stakeholders and arrange stakeholder/user engagement events.
* Act as a central point of contact and ensure smooth running of the project.
* Compile ad-hoc reports and presentations for stakeholders as required.
* Maintain and update relevant plans which may include project and resource plans.
* Create and maintain an accessible central repository for risks, issues, assumptions, dependencies (e.g. RAID log), change control, decisions, and lessons learnt.
* Support the project manager by working with the team to identify progress updates and report on project health by monitoring financial information, comparing actual progress against baseline forecasts and identifying corrective actions.
* Understand and consider business compliance issues (e.g. EU Procurement, BBC).
Key Skills Required
* Excellent time management and organisational skills, with demonstrable experience of working under pressure to tight deadlines and managing a high workload with conflicting priorities.
* Approachable demeanour with excellent interpersonal skills and the ability to influence and manage a range of relationships in a complex environment.
* Strong communication skills (verbal, written and listening): an ability to present information accurately and concisely.
* Able to produce high quality professional presentations.
* Excellent attention to detail and quality and able to ensure documents are consistent in language, terminology and style.
* The ability to translate project/programme/change requirements into clear, understandable language.
* An appreciation of the core concepts and processes required within project management.
* Experience and understanding of effective corporate reporting and good management information.
* Proactive and able to work autonomously or as part of a team to make things happen – turning ideas and strategy into tangible realities and outcomes.
* Flexible approach to work with a focus on delivery to deadlines and high standards.
* Ability to handle highly confidential information with tact and discretion.
* Strong Microsoft Office skills.
* A recognised project management qualification or demonstrable career development activities.
* Has supported a minimum of 2 projects with a duration of +6 months and with a budget of £10k+.
* Proficient in Microsoft Project and Excel.
* Understands data analysis and has experience in manipulating data to make it meaningful for different audiences.
* Experience and understanding of utilising good web-based corporate communications.
* Knowledge of the BBC and/or Media sector and broad understanding of project delivery in a broadcast and online environment.
