About the job :
As an Admistrator you will be an integral part of the Engineering Team at Long Rock Depot, reporting directly to the Depot Manager, responsible for the day to day running of all administration tasks which help support around 90 on site colleagues.
Working in a busy office this role will be varied and key supporting the management team to ensure colleagues are able to carry out their roles effectively. Dealing with confidential information you will always follow company procedures and GDPR guidelines.
Your main responsibilities will be:
1. Collating data from various sources, producing and compiling reports for depot.
2. Administrative tasks including Rule Book updates, organising staff medicals and other record keeping.
3. Assisting the management team as required
4. Management of onsite contractor records
5. Supporting the onsite Stores Team
6. Populating noticeboards with corporate information and local briefs
7. All aspects of record management including uploading and maintaining of staff records.
8. Attending confidential meeting, taking minutes and recording actions.
9. Ensuring GDPR is always maintained
10. Manage data inputting.
11. Storage of documentation
12. Carry out depot inductions.
13. Liaise with stakeholder as required.
You'll need to be:
14. Flexible
15. Well organised with a strong attention to detail and accuracy
16. Able to communicate effectively (both verbally and written word)
17. Able to respond well to pressure and prioritise workload accordingly whilst using your own initiative.
18. Able to work as part of a team and with limited supervision.
As a minimum you'll need to have:
19. An understanding the importance of following processes.
20. Familiar with various IT systems, Microsoft Excel, word,
21. An Independent learner with an enthusiasm for development.
22. Ability to take notes and present them in a coherent manner.
23. Demonstrate the ability to build relationships within a team.
Working Pattern:
This is a permanent position and will require working Monday to Friday core business hours. There may also be opportunities to attend off site meetings.
