Job summary
We are looking for part time receptionist (Monday to Friday) Applicants must have previous Reception/customer service experience ofaround five years and have excellent communication, organisation and IT skills.Knowledge of EMIS would be an advantage. It is vital for this individual tohave a flexible and adaptable approach to their work and can work well on theirown or as a team.
A Receptionist should be sympathetic yet firm with a sense of loyalty to the Practice, Manage their time and workload effectively. Always maintain strict confidentiality and work together with all the staff employed by the organisation to ensure the smooth running of the Practice.

Main duties of the job
To participatefully in the running of the reception area in order to provide an efficientservice for the Patients and Clinical Staff.
Attendto Patients at the Reception Desk, Learn, understand and maintain thecomputerised appointment system. Assistthe Patients with any problems of a general nature as and when they arise. Answer the telephone, take messages andconvey their content to the appropriate Doctor or Nurse or other members ofstaff via a computerised systems and relay replies back to the Patients asapplicable.
Acquirea good knowledge of the Practice procedure for registering new patients and therules regarding the movement of existing patients. Ensure that all relevant forms are completedcorrectly and the relevant proofs of address are provided before submission. Handleurgent requests for appointments/visits, screen messaging or contacting theDoctor on call as necessary and deal with all emergencies in a prompt andefficient manner. Assisting the clinicalstaff as necessary when dealing with all emergencies in surgery.
Tobe involved in the opening and distribution of incoming post, recording alloutgoing post and balancing the post, attain working knowledge of the frankingmachine and to be responsible for the operation of the Reception Income and Reception PettyCash systems ensuring that all book work and monies agree.
Carryout any other reasonable duties requested by the management team or Doctors.

5.Handleurgent requests for appointments/visits, screen messaging or contacting theDoctor on call as necessary and deal with all emergencies in a prompt andefficient manner. Assisting the clinicalstaff as necessary when dealing with all emergencies in surgery.
6.Makearrangements for hospital transport as required ensuring that the correctdetails are forwarded to the transport provider and confirm that the bookinghas been received.
7.Make arrangements for Interpreters as required ensuring that the correct details areforwarded to the provider and confirm that the booking has been received.
8.Checkingof emails when necessary, scan and email documents as and when required ensuringthat a sent confirmation is received and the request and confirmation isfiled.
9.AssistPatients with processes and queries relating to the repeat prescription systemensuring that patients are fully aware of the 72 hour lead time for processingprescriptions.
10.Makefull use of the computer systems, EMIS, EMIS Community and Docman, andfamiliarise oneself with the operation of these systems, using the computer asrequired for obtaining, recording and updating patient information.
11.Operatethe Practice procedure for providing copies of pathology results to patientsand the recording of the same.
12.Operatethe Practice procedure for providing patient information to Secondary CareProviders and the recording of the same.
13.Operatethe Practice procedure for actioning patients requests for blood test forms.
14.Operatethe Practice procedure for contacting patients re pathology results and letterswhere further action is required.
15.Youmay be called upon to liaise with the computer software suppliers or the localIT Department for computers (hardware faults) in the event of problemoccurring.
16.Beresponsible for opening/locking up the Surgery premises (including outsidegates and shutters) and switching the alarm on/off as appropriate.
17.Carryout any special procedures as required ie checking the computerised appointmentsystem, computer listings and any other special projects.
18.Toliaise and co-operate with all colleagues including attached staff ie HealthVisitors and District Nurses.

21.Keepall paperwork stocked up and tidy like appointment slips, new patientinformation and T Quest forms. Checking in trays, draws and folders thateverything is in date and relevant.
22.Attendany necessary training courses/sessions.To learn, understand and participate in the running of new procedures asrequested by the Assistant Practice Manager.
23.Toparticipate in the training of new members of staff a requested by the AssistantPractice Manager.
24.Coverwhere possible other reception teams sickness and annual leave.
25.Toensure that the waiting room is tidy at all times, leaflets, magazines, postersare all in date and appropriate. Wipe down regularly and also wipe over theself-check in screen
26.Carryout any other reasonable duties requested by the management team or Doctors.
