We have an excellent opportunity for an experienced Medical Secretary to join our team in Southampton. This person will be responsible for providing administrative assistance to the Occupational Health team so that they can support all company employees and contractors, while maintaining a high level of confidentiality due to access to each individual's personal, sensitive, and medical information.
This role will be working onsite, and we can be flexible, to some degree, with the hours or days worked in a week.
About The Role
How will you contribute:
* Act as the first point of contact for customers for the Occupational Health Service, returning calls and replying to emails promptly and keeping customers updated with information in an effective and efficient way.
* Promptly book both face to face and telephone appointments with the correct practitioner, as well as OHP clinics.
* Ensure the health surveillance and company medicals recall list is up to date and organise appointments for staff using the online system (Meddbase).
* Type (including audiotyping), edit and proofread clinical letters and general correspondence ensuring all correspondence is dispatched promptly.
* Accurate typing of medical reports, liaising with employees where they wish to read reports prior to dispatch; then dispatching in a timely manner to HR and managers.
* Ensure Occupational Health records are up to date, accurate and maintained, both paper and electronic, in accordance with record keeping standards.
* Order supplies in good time via the purchasing system, and check the right goods and amount are delivered against delivery notices.
* Organise providers to service medical equipment as requested by OHA.
* Arrange the prompt payment of invoices with Finance and take part in audits.
* Collect data and produce statistics as requested by Occupational Health colleagues or HR.
What will you Bring.
Qualifications, Skills & Experience:
* At least 2 years’ experience in an administrative or secretarial role within an Occupational Health or Health Care setting.
* Strong knowledge and understanding of GDPR and confidentiality requirements.
* Excellent communication skills, both verbal and written.
* Proficient in all Microsoft applications and system savvy.
* Ability to work under pressure and meet deadlines.
* Excellent organisational skills.
