JOB DESCRIPTION Job Title: Arts Centre Coordinator Directorate: Community and Wellbeing Department: Arts and Heritage Location:Initially based at the Ards Arts Centre, however, may be required to work at any location throughout the Borough Reports to: Arts Officer Salary Scale: Scale 6 SCP 20-23 Car user status: Casual PURPOSE AND FUNCTION OF THE POST To manage the administrative and operational function of the Arts Centre and to maintain effective administrative support to the Section Manager. To act as a liaison point in dealings with other departments within the Council and with the public hiring/using Ards Arts Centre. PRINCIPAL DUTIES AND RESPONSIBILITIES To ensure on a day-to-day basis that all administrative, clerical, and caretaking duties at Ards Arts Centre are efficiently and effectively carried out including the allocation of work to the administrative and caretaking employees (as appropriate). To undertake specific administrative and project related duties for the Line Manager and/or the Section/Department. To supervise, motivate and liaise with casual workers and caretaking employees and to comply with and promote equality, health and safety and employee development in compliance with Council human resources policies and legal requirements. To establish, co-ordinate and maintain systems/procedures for management of information and budgetary control including procurement, funding/grant initiatives, room hire, completion of returns and financial processing. To be the central point of contact for correspondence, and to deal with internal and external enquiries relating to room usage and hire at Ards Arts Centre. To liaise with employees and to act as referral point in the section for information exchange. To route other queries to appropriate Department/Section. To assist in the preparation of reports and take responsibility for investigation and research work as required. To manage data collation, preparation of staff rotas, revision and insertion of information on the Internet as required. To manage, maintain and update all appropriate files and records within the section (electronic and paper systems). To undertake tasks specific to the relevant Department/Section including operational arrangements for arts events and festivals, coordination of classes at Ards Arts Centre and assisting with the promotion of the Arts Service To comply with and promote equality, health and safety in accordance with Council Policies and legal requirements. To undertake any other appropriate duties as may be allocated from time to time in accordance with the general nature of the post. PERSON SPECIFICATION The person specification provides information on the qualifications, experience, knowledge and skills required to carry out the duties of the post. QUALIFICATIONS ESSENTIAL Two GCE A-levels or equivalent DESIRABLE Certificate/ qualification in customer care EXPERIENCE ESSENTIAL At least one years experience in a face-to-face role dealing with the public which must include: Experience of office administration Cash handling Reconciling accounts Taking bookings Organising and prioritising a demanding workload 6 months supervisory experience including a high level of motivational skills DESIRABLE One years experience in a face-to-face role dealing with the public in a cultural environment (eg arts and/or heritage) Experience of planning and organising events Collation of information for management reports Experience of key holder duties Knowledge of health and safety in the workplace KEY SKILLS & ABILITIES Strong ICT skills including experience of working with packages such as Microsoft excel, word and email Editing and updating of web based systems such as websites or ticketing systems Excellent written and verbal communication skills Good organisational skills Ability to supervise and lead a team OTHER REQUIREMENTS Able to work evenings and weekends as required and adopt a flexible approach to working hours in line with operational requirements DESIRABLE A valid driving licence and/or access to a form of transport The above alternative (access to a suitable from of transport), is a reasonable adjustment specifically for applicants with disabilities, who as a result of their disability, are unable to hold a valid driving licence The selection panel reserves the right to enhance the shortlisting criteria to facilitate the process when necessary.
