An opportunity has arisen to join the Operating Theatre Departments Administration Team. The successful candidate will provide administrative support to the theatre and Surgical Day Unit team and reception duties. As the first point of contact, the candidate must be able to demonstrate excellent communication skills and the ability to show empathy and understanding when dealing with patients and external visitors. The candidate will be expected to be experienced in the use of Microsoft Packages such as Word, Excel, and Outlook.
The successful candidate will undertake general office administration tasks including filing, scanning, photocopying, data entry, admitting and discharging patients, and dealing with reception and telephone enquiries effectively and efficiently. The candidate may be required to provide cover for other members of the administrative team at other clinics as appropriate, which may include travel to other sites. Full training will be provided.
Main duties of the job
1. Provision of comprehensive administrative, IT, and clerical support for all staff within the Theatre Department.
2. Receive, assist, and direct patients and visitors, presenting a user-friendly and accessible service to the public.
3. Dealing with reception and telephone enquiries effectively and efficiently.
4. Working flexibly within a team, providing support to colleagues and the multidisciplinary team with the flexibility to work and travel between sites if required.
Job responsibilities
1. Present a user-friendly and accessible service for the public.
2. Support clinical staff with waiting area management.
3. Provide an efficient and confidential reception service for the Surgical Day Unit and Theatre Department undertaking telephone and reception duties as appropriate, including dealing with the general public over the telephone and face to face.
4. Collect data and assist in data entry working with computer systems.
5. Undertake typing as appropriate, using PC-based word processing and spreadsheet packages.
6. Provide administrative and IT support to all staff in the department.
7. Undertake general office administration tasks including filing, photocopying, scanning, and processing information.
8. Flexibility to work and travel between sites if required.
9. Ordering stationery to ensure sufficient supplies are available in the department.
10. Provide training to new members of staff when required.
Person Specification
Qualifications
* Previous administrative experience within a clinical area, or medical records function is essential (e.g., medical secretary, medical records, or clinical department environment).
* NVQ Level 2 in customer care/admin or equivalent experience.
* Knowledge of office equipment and systems.
* Proficient in word processing and knowledge of other Microsoft packages.
* Knowledge of Medical Terminology.
* ECDL.
* RSA II Typing / Word processing or equivalent.
