What you'll be doing?
Reporting to the Managing Director, you will support the Managing Director in fulfilling their responsibilities, contributing to the overall success of the business through the provision of efficient and effective administrative support. You will be expected to:
* Provide high level and comprehensive email management, diary, administration and secretarial support to the MD and other senior team members when required
* Handle sensitive and confidential matters relating to the daily activity of the division.
* Arrange meetings, including meeting room management and catering services
* Reconcile expense receipts, credit card statements and expense reporting
* Co-ordinate, arrange and oversee the team and divisional event planning processes, as required.
* Support as required in business inductions for new starters
* Produce divisional board packs, ensuring that these are sent out in a timely manner along with the distribution of papers for meetings.
* Recruitment – Raising staff requisitions and support hiring managers with recruitment administration as well as Early Careers placement activity.
* Use diplomacy and problem solving skills in order to assist in the resolution of issues escalated to the MD level.
* Ensure that all the divisional SHE Training and eLearning is up to date
* Support the MD to ensure that all PDRs are completed within a timely manner
* Administer divisional long service, customer first recognition awards and Pride in the Job awards for the division
* Provide support with the divisional engagement survey administration
* Provide the relevant documentation during Divisional Audits
* Support MD with Customer Care correspondence
* Ensure the smooth run of the office on a daily basis
* Line Manage the Divisional reception team (if required)
* Ensure that all Divisional notice boards are up to date
What you'll need?
To be successful in the role, we are looking for:
* Extensive relevant experience gained from a fast-paced professional environment
* Proficient in the use of Microsoft Packages including Word, PowerPoint, Excel and Teams
* High degree of discretion and confidentiality required
* Highly organised with excellent attention to detail, using one's initiative & acting proactively
* Professional written & verbal communication
* Adaptable, calm under pressure and professional
* Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
