An exciting opportunity has arisen to be part of the Endoscopy admissions team.
The endoscopy unit offers a complete range of high quality diagnostic and therapeutic endoscopic services, performing approximately 14,000 procedures per year through 5 treatment rooms. The unit operates a 6 day (Mon-Sat) service.
We are looking for an enthusiastic and energetic individual to work in this busy department, which will entail working in a team of Admission Coordinators to plan elective daycase and non-elective emergency admission lists for the endoscopy clinical team. The admissions team is supported by a team of clerical officers which means the successful candidate will lead by example.
Applicants should have a responsible attitude, be proactive, demonstrate using initiative and excellent communication skills as a high degree of liaison is required with senior clinicians, nursing staff, other departments and service line management.
Please note the successful applicant will be required to work 1 in 5 Saturdays in a rotation with the rest of the team.
To provide a full comprehensive service for the endoscopy unit, liaising with endoscopists, nursing staff, wards, and management in regards to all aspects of pre-assessment and admissions, with support from a team of clerical officers. The post holder will be required to provide a booking service for endoscopy unit in an efficient and timely manner, for pre-assessment and daycase admissions. In particular to manage the addition of patients to the endoscopy waiting list and the selection and booking of patients for telephone pre-assessment and daycase admission booking in accordance with trust policies and procedures.

Key Responsibilities:
1. Be responsible for placing patients onto the waiting list using accurate coding.
2. Manage the PTL selecting patients for admission on the basis of clinical priority and agreed protocols, in liaison with directorate and clinicians.
3. Be responsible for arranging patient admissions in accordance with clinical priority determined by the medical teams and chronological waiting list time.
4. Printing and distributing admission lists to all appropriate staff on a daily/weekly basis.
5. To be accountable for ensuring all capacity is fully utilised.
6. Responsible for liaising with endoscopists, nursing staff, other clinicians and departments to facilitate patient’s pre-op appointments and admissions.
7. Reorganise lists to accommodate short notice or urgent patients.
8. Coordination and booking of the ERCP pathway.
9. Assess and analyse capacity requirements that meet PTL targets and availability of endoscopy room time.
10. Take appropriate action when capacity proves insufficient to accommodate number of patients who need to be treated, including escalating to management.
11. Responsible for the supervision and training of the clerical team and NVQ students.
12. Take appropriate actions with regard to telephone call from patients, GPs and other agencies using initiative within trust guidelines.
13. Prioritise own workload and work without supervision.
14. Sort and deal with all correspondence, keeping a satisfactory record and filing system.
15. Ensure effective communication with all members of the multi-disciplinary team.
16. Co-ordination of speciality waiting lists within the framework for the Trust’s Waiting List Policy.
17. Required to cover for other colleagues during annual leave/sickness or peak workloads.
18. Deputising for admin team leader in times of absence, as well as covering the clerical team in times of sickness/vacancies.
19. Flexible, respond to trust needs to book vacant lists on an urgent basis.
20. Exposure to distressing/emotional circumstances, i.e. dealing with distressed, anxious and angry patients and relatives in person or by telephone.
