Position Summary
Reporting to the Assistant Accounts Payable Manager we are recruiting for an Office Administrator on a part time - 16 hour basis for two days per week on a Monday and Tuesday. As our Office Administrator you will assist in all processes that will ensure the efficient running of the office at Rutherford House, Derby and to perform administrative duties mainly for the Accounts Payable department. This is a role which covers our reception desk welcoming and supporting visitors and contractors who come to site.
Duties
The main duties of this role include
• Meeting and greeting visitors, including the management of passes/parking permits and hospitality requirements. Car park management.
• Office maintenance in conjunction with the Facilities. Maintenance requirements organised by facilities are ok to come on site and office team members are aware. Including Health and Safety work, coordinating PAT testing, fire alarm testing etc.
• Arrange all stationery orders, including branded materials and business cards for all UK STERIS staff.
• Administration activities for the office such as post distribution, filing, storage management and couriering of documents.
• Catering as required for lunch and kitchen supplies. Book and manage meeting rooms, maintain 5S standard.
• Carry out security inductions for all new starters, visitors, contractors at Rutherford House. Maintain and co-ordinate key holder allocation for the building.
• Purchasing of office equipment and supplies, including the raising of purchase requisitions, and receipting of goods.
• Create and maintain vendors in Oracle for designated STERIS entities, ensuring compliance to SOX and Group Policy.
• Maintain Accounts Payable inbox and forwarding or moving newly received emails to correct place.
• Attached copy invoices in Oracle through the scanning process.
• Create informal statements for supplier requests.
• In conjunction with facilities, ensuring of optimised workings of office equipment including franking machine, water cooler, photocopier, alarm, door entry system etc.
• To perform any other office administrative tasks that are required.
Required Experience
A background in a similar customer facing and supporting role is required - this can be across any industry the main attributes we are looking for are a team player who is organised with an attention to detail and the ability to prioritise.
