Our well-established Kirkcaldy based client requires a Customer Service Administrator to join their Sales and Customer Service team.
Reporting into the Inside Sales Manager, you will manage existing and prospective customers to maximise product take-up and sales opportunities. You will be required to show a high level of competency and organisational skills working within a team environment providing a total quality service to internal and external customers.
This is a fast-paced role and key duties will include:
1. Taking incoming sales enquiries professionally and offering product advice as required.
2. Preparing customer quotations ensuring profitability is maximised by up-selling and cross-selling.
3. Obtaining pricing and availability from suppliers for non-stock items as necessary.
4. Ensuring all quotes and feedback from customer discussions are accurately recorded on the CRM system.
5. Maximising CCB on every order.
6. Processing sales orders quickly and accurately, working in line with company procedures.
7. Dealing with and resolving customer issues speedily and documenting and reporting them to the team supervisor as necessary.
8. Processing warranty claims, ensuring all documentation is completed in accordance with company procedures.
9. Focusing on cross marketing on every call with the customer and recording on the CRM.
10. Keeping the data on the CRM accurate, updating the number of machines and customer categories.
11. Handling customer complaints, providing appropriate solutions and alternatives within the time limits; following up to ensure resolution.
12. Keeping records of customer interactions, processing customer accounts, and filing documents.
To be suitable for this challenging and rewarding role, you must have the following key skills and experience:
1. Proven customer support experience or experience as a client service representative.
2. Experience of working with technical or complex information.
3. Track record of over-achieving quota.
4. Strong phone contact handling skills and active listening.
5. Familiarity with CRM systems and practices.
6. Ability to build effective working relationships with internal and external customers.
7. Customer orientation and ability to adapt/respond to different types of characters.
8. Excellent communication skills.
9. Ability to multi-task, prioritize, and manage time effectively.
10. Ability to influence.
11. Strong attention to detail.
12. Skilled in negotiation and dealing with complaints.
