The Opportunity
Our Client; a well-recognised and respected Engineering firm who work at the forefront of sustainable and innovative Energy solutions are now actively seeking an experienced Project Administrator on a full-time contract basis. The initial duration of this contract is expected to be at least 6 months, but there is a possibility that this may see extension. This role has been deemed inside IR35 and offers a competitive hourly rate of pay. This position also enables hybrid working and would see you spending 3 days a week at their offices in Brentford, West London and the other 2 days per week from home.
Your key duties and responsibilities will be:
To provide general Administrative support to the Client Project Director and Client Project Team as required.
Organise calls, meetings (both internal and external).
Arrange internal and external meetings and events, including project meetings.
Provide diary management for the managers as may be required.
Coordinate and follow up on action items for the Project Team.
Assist with and organise extensive travel arrangements – car hires, taxi / transfer services, train journeys, flights, accommodation, conference bookings; including arranging visas for several people, at the same time.
Organise inductions for new starters as may be required.
Collate information for meetings and reports.
Format documents (e.g. CVs, reports, letters, etc.).
Manage Project SharePoint site (upload documents, issue templates, track any version changes, etc.)Draft and prepare documentation – letters, meeting agendas; assist with presentations.
Submit IT tickets on behalf of the Project Team and proactively deal with any IT-related issues.
Process expenses in a timely manner.
Perform ad-hoc tasks (create templates, process electronic / postal correspondence, filing, updating database (e.g. contacts), action tracking, etc.).
Establish and maintain effective communication with personnel in other offices in the UK and across the globe as may be required by the project.
Actively take part in various campaigns and initiatives, and be a proactive member of the administration / business support team.You will have the following qualifications & experience:
Should ideally be educated to ‘O’ level, GCSE or NVQ 3 standard or equivalent, although plenty of relevant experience will be considered.
Should be a skilled and experienced Project Administrator / General Administrator, perhaps even a Document Controller who has ideally gained similar experiences working in an Engineering Contractor environment i.e. Energy & Resources (Oil & Gas) industry or equivalent.
You should be a team player and a confident people person with the ability to communicate easily at all levels.
Excellent written and verbal communication abilities are required here as well as good interpersonal skills and the ability to facilitate team co-ordination.
You will have strong attention to detail.
Advanced Microsoft Office skills are needed here.
You will have good time management skills, be confident working under pressure, along with having a proactive approach to work both flexibly and using your own initiative.
You should be flexible (e.g. sometimes be available out of hours / weekends to attend to urgent matters.
Strong organisational, multi-tasking and prioritization skillsare required.This position is available with immediate effect.
