Job Overview
We are seeking a proactive and detail-oriented Depot Assistant to join our dynamic team at our Bristol depot. This role is essential in supporting the Depot Manager with the day-to-day running of operations, ensuring smooth workflow, and maintaining efficiency across all depot activities. The successful candidate will also provide cover for the Depot Manager when required, making this a great opportunity for someone looking to develop their leadership and operational skills.

Liaising with:
Head Office, Customer Operations Desk, Depot Managers, Yard Operatives, Drivers & Valeters
Key Responsibilities
* Administrative & Operational Support:
o Allocate all fleet numbers onto Syrinx.
o Allocate work to employees on a PDA.
o Complete and maintain daily stock sheets.
o Book and coordinate electrical test inspections, ensuring all completed certificates are properly filed.
o Liaise with Head Office to ensure all van MOTs are recorded and up to date.
o Liaise with AHN Breakdown team to mange the Vehicle repairs.
o Record and monitor weekly vehicle mileages.
* Transport & Logistics:
o Assist in planning and coordinating transport.
o Process external haulier Proof of Deliveries (PODs) & Proof of Collections (POCs).
o Arrange and book agency drivers when required.
o Liaise with the Fleet and Transport team.
* Fleet & Compliance:
o Conduct weekly fleet audits on a rota basis.
o Ensure compliance with company policies and procedures.
o Support in maintaining accurate and up-to-date records for all vehicles and equipment.
* General Duties:
o Provide cover for the Depot Manager when required.
o Handle any ad-hoc administrative tasks to support depot operations.
Requirements & Skills
* Strong verbal and written communication skills.
* A professional and polite telephone manner.
* Customer service experience with a problem-solving mindset.
* Logistics and planning experience (preferred).
* Confidence and ability to deputise for the Depot Manager when required.
* Experience handling multiple tasks in a fast-paced office environment.
* Exceptional attention to detail and accuracy.
* Strong teamwork skills with the ability to work independently when necessary.
* Ability to work effectively under pressure with minimal supervision.
* Proficiency in IT systems including Excel, Word, and Outlook.
* Previous experience in the plant hire industry is desirable but not essential.
