Our Opportunity:
The Executive Office Team are looking for an Executive Office Assistant to join the team, providing support to the General Counsel and Compliance officer. In this role you will provide high-level administrative support, ensuring efficient operation of the legal and compliance functions within the organisation. This role requires a proactive, organized individual with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.
Day to day you will:
1. Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
2. Prepare and edit correspondence, reports, presentations, and other documents as required.
3. Maintain filing systems, ensuring sensitive legal and compliance documentation is organized and accessible.
4. Serve as the primary point of contact for internal and external communication related to the General Counsel and Compliance Officer’s office.
5. Liaise with various departments and stakeholders, ensuring effective communication and collaboration.
6. Maintain discretion and confidentiality in handling sensitive information.
7. Assist in the planning and execution of legal and compliance projects.
8. Track project timelines and deliverables, providing updates as necessary.
9. Organize and coordinate departmental meetings, including agendas and minutes.
10. Assist in the monitoring of compliance training and education programs.
11. Support the compliance team with research, documentation, and other administrative tasks related to regulatory compliance.
12. Perform other related duties as assigned by the General Counsel and Compliance Officer.
13. Stay informed about company policies, procedures, and legal regulations relevant to the organization.
About you
You will be proactive, quick thinking and capable of providing high levels of business support. You should be able to demonstrate effective business partnering and collaboration within your team members and peers across Thales UK. You will have excellent communication and organisational skills in order to anticipate workloads and meet expectations. Previous experience supporting stakeholders is preferred in order for the individual to operate with a high level of confidence.
A customer service mind-set is vital, you will be liaising with internal and external stakeholders at all levels and engaging in a variety of business activities. Appetite to gain well rounded knowledge of the organisation and an ability to understand the business values and behaviours quickly will be key to this role as well as understanding the organisation’s aims and objectives.
Security Clearance
Due to the nature of the work that we do at Thales, many of our roles are subject to security restrictions. This role requires Security Clearance (SC). It would be advantageous if currently held, however, if not currently held, it is a requirement that the successful applicant undergo, achieve, and maintain SC Clearance prior to commencing employment. To be eligible for full SC, you generally need to have resided in the UK for the last 5 years. In some circumstances, a minimum of 3 years’ residence in the UK over the last 5 years may be accepted, with additional overseas checks.
