Brilliant opportunity for a Junior level Document Controller to join an incredibly busy and growing London based Architectural practices.
My client is a mid-sized practice based near London Bridge and due to increased growth within the business they are looking for Junior Document Controller Administrator to join their Administration team and support the lead Document Controller.
Ideally you will have at 1-2 years data management/Administartion experience and previous exposure to architecture or construction would be highly advantageous.
* Assist in managing project documentation, including drawings, contracts, reports, and other technical or administrative documents.
* Attend project meetings and site visits to take minutes and actions.
* Converting information from project teams and meetings into user-friendly documents.
* Assist in the preparation, distribution, and filing of document transmittals, client submittals, and other project-specific documents.
* Maintain accurate and up-to-date records of all document-related activities using the document management system (e.g., Procore, Aconex, Asite or similar).
* Check documents for accuracy, completeness, and compliance with company or project standards.
* Track document revisions, distribute updated versions to the relevant team members, and ensure that superseded documents are archived appropriately.
* Liaise with project teams and clients to ensure timely submission and receipt of documents.
* Provide support in the preparation and organisation of documents for project audits, reviews, and meetings.
* Assist in monitoring and reporting on the status of outstanding documents and approvals.
* Support the coordination and management of project document workflows and approvals.
* Adhere to company and project-specific procedures and best practices for document control.
* Ensure compliance with GDPR and data protection regulations regarding document storage and handling.
Required Skills
* A minimum of 1 year of experience in a document control or administrative role (experience in an architecture or construction-related environment is desirable).
* Strong attention to detail, with a high level of accuracy and consistency.
* Familiarity with document control software and systems (e.g., Aconex, Procore, Asite, SharePoint, or similar).
* Excellent organisational skills with the ability to manage multiple tasks.
* Proficient in Microsoft Office Suite (Excel, Word, Outlook).
* Ability to work efficiently both independently and as part of a team.
