Appointments Officer Full time, 8-week placement Band 3 Worthing, UK. Public client. Spencer Clarke Group are looking for an Appointments Officer to join one of our public clients in the Worthing area. This is on a fulltime basis working 37.5 hours per week on an 8-week placement. The department you will be working in is Radiology. You will be responsible for providing an efficient, high quality appointment reception and booking service across all aspects of the Radiology Department. The role is predominantly based within one site with the rotation of another. You will be responsible for the smooth running of all the sites reception and utilise appointing knowledge to maximise utilisation of all available appointments. What you'll do: To enhance the effectiveness and productivity of the team, collaborate closely with the administration team leader, consultants, superintendents, senior medical staff, sonographers, and radiographers. Work together as a team, ensuring that everyone is communicating effectively. The capacity to handle all enquiries, some of which may be complicated, from the public and Trust employees in a tactful and efficient manner. Staff, patients or family members, general practitioners, and other medical professionals can communicate by phone or email. Communicate with patients in a sensitive, confidential and tactful manner; some of the issues can be of a complex and contentious nature. Regularly attend team briefs and huddles and ensure any duties are carried out upon request. Cancel and rebook lists at short notice because of mechanical breakdown or unexpected last minuet unavailability of staff. Following this you will be require to make appropriate judgements on where to rebook patients, with the urgency and availability at the forefront of your decision. You will be required to make a plan of your own working day and utilise the appointment spaces effectively ensuring that your considering last minuet availability and cancellations so that no appointments become waisted. Review referrals to make sure the patient is prepared correctly and included to the correct list. Determine the urgency of referrals, evaluate them, and forward them to the appropriate superintendents or consultants in the department. The booking of patient appointments are completed via the computerised radiology information system (CRIS) for all modalities. What we're looking for: GCSE or equivalent in English and Maths. Educated to at least NVQ Level 2 or equivalent level of competence. Experience of working with people both over the phone and face to face. Competent in a range of packages including MS word and MS Excel. Knowledge and awareness of confidentiality issues relating to the Data Protection Act and Computer Misuse Act. Previous clerical experience. Good communication skills, able to work part of a team, flexible attitude to work rotation, confidence to work on own initiative, able to plan work and set priorities, and ability to concentrate for long periods maintaining accuracy. You will be required to have a Standard DBS check completed prior to the start date.
