* To represent the Vascular Department responding to external and internal telephone / email queries from staff, patients and others and referring to appropriate person, acting in a professional, courteous manner at all times
* Handle customer concerns either by telephone or in person in order to achieve immediate local resolution whenever possible, in accordance with the Trust's complaints procedure.
* Manage electronic calendars for Consultants, organising meetings as required and accurate maintenance of an electronic diary with effective communication of diary commitments.
* Provide secretarial / administrative services to Consultants and their team by perusing and distributing incoming correspondence, disseminating information, composing reports and correspondence, maintaining up-to-date filing systems, booking systems and continuously developing administrative practices to ensure order and efficiency. Managing Health Roster to cancel clinics when clinicians are not available. Action MDT outcomes.
* Support to organise the daily work of the Support Secretary and Typist, ensuring files and papers are available and up to date, providing briefings for the day's activities, highlighting deadlines and potential conflicts of interest.
* Provide secretarial and administrative support when other members of the team are absent.
* Co-operate in the provision of information within the Acute & Specialist Surgery Clinical Business Unit.
* Opportunity to undertake a mentoring role within the Vacscular Admin Team, including Appraisals.
Within the Surgery Department we really value our Admin Team, each individual has an important role in the day to day running of our clinical services to ensure patient care is at the forefront of all we do. Within the Vascular Surgery Service, we provide care for urgent and routine patients across Morecambe Bay, Blackpool, Preston, Chorley and Wigan both in clinics and in theatres. Our Vascular Admin Team is based at Royal Preston Hospital.
This is a very busy and varied role; no day is ever the same. On a typical day you will undertake various admin duties, have regular contact with patients, community clinical team and all members of the Vascular Clinical Team, as well as ensuring the smooth running of the Vascular Service, to ensure our patients get the best possible care. Once training has been completed, we are able to offer Agile Working to the successful candidate. A minimum of 3 days will be required to be worked on-site at RPH, with the option to work 2 days from home. We are a supportive team, we have a passion for making a difference. If you are somebody who is dynamic, has previous secretarial experience, and flexibility in your approach, this role could be the one for you. Although desirable, previous NHS experience is not essential, as you will be given full on the job training and support. We also offer further development opportunities within the trust.
