The BeeU Service provides emotional wellbeing and mental health services for children and young people (ages 0 to 25) in Shropshire, Telford and Wrekin. We are seeking a friendly individual to join our team of administrators supporting our BeeU Mental Health Team(s). Our administration offices are busy places, and our clinical teams rely on our team to provide an efficient, effective service to support them in delivering the very best care to our patients.
The post involves contact with patients and their families either face to face or via telephone, so good communication skills are essential. You will handle incoming and outgoing calls and deal with enquiries in an efficient manner as well as carry out reception duties when required.
You will be required to maintain strict confidentiality and will be expected to deal with patients and relatives with courtesy and discretion at all times. Working knowledge of Microsoft applications such as Word, Excel, and Outlook will be valuable, and support to use the Trust's digital systems will be available to the successful candidate.

Key Responsibilities:
1. Accurately maintain and keep secure patient health and staff records/systems in line with policy and standard operating procedure, ensuring data quality, confidentiality, and compliance with current Data Protection Law.
2. Maintain strict confidentiality regarding information concerning patients, staff, and sensitive Trust Business at all times.
3. Carry out reception duties including meeting and greeting service users, carers, relatives, and visitors, as requested by the Admin Support Supervisor and/or the Admin Team Leader.
4. Handle incoming and outgoing telephone calls in a polite and efficient manner. Receive and deal with telephone enquiries, referring queries to a more senior colleague where appropriate. Take accurate messages and pass them to the appropriate person in a timely manner.
5. Type a range of documents including emailed requests, copy typing, and audio transcription (via Winscribe digital dictation system) generated by the mental health pathway teams.
6. Prioritise own workload and meet deadlines to meet the requirements of the post.
7. Regular data entry and booking of appointments for service users on the clinical patient administration system, RiO.
