About The Role We are currently looking for a Sales Coordinator to join our team in Cala Southern to provide a full and professional sales administration support service to the Sales Director and Sales Managers. The role holder will be responsible for maintaining the Salesforce system including exchanges, legal completions and incentives. You will receive notification of reservations from Sales Consultants in order that you can instruct solicitors to issue documentation. Key Responsibilities & Duties Receive and check reservations from Sales Consultants and forward to the solicitor to issue contracts. Update forecast sheets as required Update HA app Act as the first point of contact for all sales related calls into Head Office Support Sales Progressor to co-ordinate sales legal enquiries to the relevant departments, provide relevant documentation to solicitors as required, cover progression at key times of the year and holidays. Be responsible for the plot legal documentation received in the office, obtaining signatures and sending back to solicitors Serve notices if instructed by the Sales Managers Manage an efficient paperless filing system Organise and oversee the Classic Folios set up Manage the supply of handover gifts Management of Salesforce to ensure real time reporting is accurate, including updating exchanges and legal completions as required and reviewing daily General administration support in line with office and department needs Administrative support in relation to new site starts ie producing health & safety folders, sales force admin, ordering stationary, PPE etc Code invoices for the relevant developments on behalf of the department Create and issue sales administration documents, ie pet consent letters, EV ownership letters Manage training courses for the sales and marketing department General Salesforce administration including adding incentive costs to plot assets Peoplesafe administration and management Organising general maintenance of items in sales offices ie fire extinguisher servicing, PAT testing, boiler servicing etc Producing minutes for sales and marketing meetings Accounts administration relating to payments, cost amends, new account forms etc for sales and marketing Ongoing ordering of sales office sundries Produce agents instruction letters and issue NHBC – Update policy codes on Salesforce for Customer Service Surveys Download & save Cover Notes from the portal Meter Readings, Water co letters, notifying councils About You The ideal candidate should have: • High level of proficiency in various computer packages including Microsoft 365 products – Word, Outlook, Powerpoint and Excel • Excellent written, verbal and listening skills • Reliable and flexible • Excellent planning and organising skills • Self-motivated and pro-active • Attention to detail • Ability to act on own initiative and make decisions, willing to take on new responsibilities • Ability to show a high level of confidentiality • Effective at building relationships • Portrayal of a positive image of self and Cala at all times We recognise that a diverse team makes us a stronger and more successful company.
