Primary Purpose of the Role:
The principle purpose of this role is to provide over-arching functional support to IAS UK Head of Bids and the IAS UK Bid Management team. The role is required to ensure that best practice is applied to bid management with regard to the use of people, processes, and tools.
Key Responsibilities and Tasks:
* Gates Organisation: Responsible for:
o Scheduling, managing, and recording of all IAS UK Gate reviews
o Ensuring full compliance and governance of all IAS UK Gate Reviews in line with Chorus 2 mandates
o Issuing of calling notices to all mandated attendees and confirming availability, ensuring delegates are in place to enable decision making
o Formal recording of actions placed and decisions made
o Obtaining signatures of approval documents and decisions
o Liaising with BL/GBU for scheduling of BL & GBU Gate reviews
o Working in close liaison with the Bid and Sales Managers to monitor planned/actual Gate Review dates in the Company Order Intake database (T360) to ensure that they are up to date and valid
* Deputy local point of contact (LPC) of the Thales Chorus 2.0 - 5.1 Manage Bid process
o Responsible for ensuring full compliance and governance at all times, including the dissemination and improvement of governance in line with Group and Country specifications
o Support to Audits
o Support Root Cause Analysis investigations associated with audit non-conformances and other process-related actions
o Conduct Process Effectiveness Reviews (PERs)
o Adhere to the terms of reference for the Local Process Correspondent
* In coordination with Domain Head of Bids & Bid Supervisory Authority, ensure Baseline Authorities are assigned for all B2/Critical Bids
* To ensure process alignment with existing and planned Bid & Project Management business tools
* Perform Bid activities associated with the Domain B&P Budget ensuring alignment of bid activities, Order Intake Forecast (T360), and Forward Load (P6)
* Provide regular consolidated Domain status reporting and analytics (Pipeline Report, CSR, Key Bid Tracker)
* To attend Bid Management UK Forums (BIDCOM) and process owner working groups, coordinating practitioner attendance from BLs
* Functional travel organisation in liaison with PA
* To provide support to bid managers as required
The role will also involve occasional ad-hoc duties that are not listed above but are necessary to respond to the needs of the business. These ad-hoc duties will be consistent with the nature of a Bid Process Manager position within Thales.

Skills & Experience:
Essential:
* Strong understanding of the Bid Management process and the associated business benefits of such process
* Strong administrative, organisational, and team working skills
* Good working knowledge of Microsoft tools (Outlook, Word, Excel, PowerPoint)
* Ability to proactively establish and meet deadlines; multi-tasking and prioritising, where appropriate
* The aptitude to deliver a “Bid Management Office” service via the ability to interpret the requirements of bids, and to effectively identify the correct processes and tools to ensure the effective delivery of the service
* Strong stakeholder communication skills; with the ability to work across the boundaries within the B&PM job family, Senior Stakeholders within IAS UK, other functions, and UK/BL/GBU
* Ability to identify and capitalise on examples of best practice
* Excellent communicator with proven ability of coaching others
* Strong planning and delivery orientation
