Poverty Global Practice The Poverty and Equity Global Practice, part of the Equitable Growth, Finance, and Institutions vice-presidency, plays a key role in supporting the World Bank Group's goals of ending extreme poverty and boosting shared prosperity. It generates knowledge and dialogue and supports operational solutions, focusing on poverty monitoring and statistical capacity building, markets and institutions, fiscal and social policy, and resilience to shocks and sustainability. The practice is organized into seven regionally-oriented units-EAP, ECA, LAC, MNA, SAR and two in AFR responsible for the delivery of country programs - and a Global Unit, responsible for the delivery of global programs and corporate priorities. The development and flow of global knowledge within the practice is facilitated through five main cross-cutting thematic lines. These are: (1) data for policy analysis; (2) markets and institutions for poverty reduction and shared prosperity; (3) fiscal and social policy for poverty reduction and shared prosperity; (4) poverty, fragility, and conflict; and (5) welfare implications of climate change. Our global programs focus on the production of tools and methods for poverty and distributional analysis and of knowledge and public goods to advance the poverty and equity agenda at all levels. Job Duties and Responsibilities: The Role of the ETT is to: • Provide full administrative support to unit staff, including organizing meetings, seminars, high level workshops and events and ensuring all logistics are appropriately arranged. • Organize travel arrangements and logistics, working closely with Amex and, as necessary, liaising with country offices and external parties. • Support the Unit and relevant Global Programs in the procurement of services and the contracting process of STCs, including eConsultant/AdminPortal submissions, compiling all requirements for recruitment, monitoring of deliverables, following up pending items to facilitate their timely completion. • Handle the coordination of shortlisting and interviewing of candidates, prepare binders with confidential information and maintain contact with candidates regarding their interviews and selection status. • Coordinate on-boarding arrangements for the arrival of new staff in the unit by submitting eservice requests (including office space, telephone, desktops, Outlook, computer log in accounts, and People's Directory). • Coordinate and supervise general office procedures; Support the administrative functions of the office, i.e., TRS, LARS, SAP, HR functions; update and maintain distribution lists. Maintain liaison with key HR and RM personnel and ensure the Unit is on track with their requirements and timetables. • Assist in providing advice to all Global Unit staff regarding processing procedures, business processes and ensuring compliance with Bank guidelines. • Assist internal and external clients with general inquiries and/or provide guidance accordingly. • Undertake other administrative duties as may be assigned by the Practice Manager. • Work in a team base environment, in coordination with other ACS in the Global Unit. • Provide back-up support to the ACS team as needed. Selection Criteria • Minimum Education/Experience: High School diploma. Business school training is highly desirable and at least 2 years of relevant experience, or equivalent combination of education and experience. • Proficiency in Microsoft Window applications such as Excel, Word and Power Point. • Previous experience supporting project teams and good knowledge of the World Bank policies, procedures and operating systems (Outlook, Operations Portal, MyTF2, Admin Portal, SAP, RM Reports, HR Compass, Amex, Intranet, etc.) is preferred. • Professional demeanor with excellent organizational and time management skills. • Strong task management skills to undertake diverse and complex assignments with minimal supervision. • Ability to prioritize and balance competing demands under pressure, demonstrate proactivity, while keeping attention to detail and exhibiting tact and judgement. • Outstanding interpersonal and communication skills (both written and spoken English), with ability to effectively interact with internal and external clients and staff at all levels. • Ability to draft routine correspondence (memoranda, minutes, responses to queries) and edit and proofread correspondence, ensuring proper grammar, punctuation and style. • Experience in event planning and organization. • Proven ability to work effectively in a team-oriented, fast-paced environment, and contribute towards common goals. • Positive attitude and proactive approach, high degree of motivation, initiative, flexibility and reliability.
