Role Overview:
Introduction to the role:
We are looking for an Executive Assistant to join the Partnership Secretariat Team in Liverpool. This is an exciting opportunity to provide high level support to the management team to ensure it functions efficiently and in a manner which meets its objectives and the ongoing needs of the firm. Reporting to the Partnership Secretary, the Executive Assistant will be responsible for preparation of reports, minute taking, event planning, ensuring that all administrative processes work effectively, as well as the potential for project support.
Key Responsibilities:
* To provide Executive support services to the management team, including proactively managing diaries, collating all relevant paperwork, preparation of reports and agendas and prioritising incoming correspondence
* Arranging travel, visas, and accommodation, ensuring that policy guidelines are adhered to
* Dealing with monthly expense claims
* Meeting and greeting visitors at all levels of seniority
* Screening telephone calls (enquiries and requests) and handling them when appropriate
* Assisting with the organisation of the AGM and attending the same
* Devising and maintaining office systems including filing and data management and stationery supplies
* Dealing with incoming mail and responding where appropriate
* Ensuring appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the management team
* E-mail monitoring
* Minute taking
* Ensuring Companies House and all internal registers are kept up to date
* Assist the Finance Director with the administration of Partners Capital, current account statements and drawings illustrations
* Providing cover for other team members where necessary

* Proven experience working in a professional service environment

* The successful candidate must have a flexible approach to work as there may be a requirement to travel and work outside contracted hours
