Job Purpose / Overview
The Project Support will manage the effective and efficient provision of professional support services to the Programme area and also to the wider programme or management team. The job holder is expected to act primarily on their own initiative ensuring the smooth operation of the office and effectively managing senior stakeholder requirements. The role may require additional administrative responsibilities.
Principal Accountabilities
1. Provide a professional, accurate and reliable administration support service to the department and extended business unit as required
2. Diary and itinerary management for the arrangement of meetings
3. Prepare meeting packs, co-ordinate the booking of rooms, arrange travel, accommodation, pool/hire vehicles and hospitality as required
4. Maintenance of data/records in order that information is readily available and easily accessible
5. To liaise closely with counterparts in other NNB locations and command centres to support effective interaction and collaboration
6. Record and produce minutes for key business meetings as necessary
7. Provide office services such as reprographics, binding etc.
8. Maintain confidentiality of all information
9. Keep in touch with team members when they are out of the office and report issues/ take actions for response as appropriate
10. Respond to phone/email enquiries to/ from wide range of external parties etc
11. Prepare letters, documents, ensure reports are well presented

17. Previous team support experience

20. General administrative knowledge producing professional work as well as ability to adapt to new and changing systems (and possibly creating systems)
21. Use of Outlook or similar diary/email application; Microsoft Office - Word, Excel, Power Point
