The Role:
The Project Support Officer/Programme Management Officer for the LECP programme is responsible for supporting a wide range of project management activities to ensure the delivery of the project’s objectives. You will work closely with the PMO Lead / Programme Manager / Delivery Managers / Product Manager and wider project team, ensuring that DDaT’s agreed project management methods and standards are successfully implemented within the project.
The role provides an excellent opportunity to work at the heart of a major portfolio within the (PPPT) Portfolio.
The post holder will be able to assure and analyse information across the programme/workstream to aid senior management decision taking. You will have the opportunity to develop a broad range of effective delivery skills, including knowledge in a variety of PMO techniques and tools.
Responsibilities:
Your main day-to-day responsibilities will include:
* Determine weekly priorities and activities and assign tasks to the team members.
* Lead the development, implementation, and oversight of the MS Project Plans, RAID, Key milestones, Project reports and Dashboards, Key financial, change controls and exceptions.
* Weekly MSPO Governance – follow the instructions set by PPPT PMO/PPD team.
* Risk management – create/update/monitor risks, mitigating actions, costs etc.
* Issue management – create/update/monitor issues.
* Milestones/tasks – create/manage/update programme/project plans including baseline management.
* Dependency management – create (including hard links/Dependency tracker/Dependency Agreement), manage, and update the dependencies programme has with other projects both internal and/or external to the programme.
* Quick Status Report (QSR) and Programme Update.
* Weekly Risk Triage call – review/update the tracker.
* Monthly Programme Board – Create/update board pack, distribute the board pack, take actions/minutes including review sessions before the board.
* Weekly Programme Update – Create/manage Programme Update slide pack including review sessions before the meeting.
* On and Off boarding – meet regularly with PPPT BMT/Supplier/other suppliers to review all in-flight resources (across programme). Update the tracker, set up related meetings, monitor the status etc.
* Actively own/manage SharePoint site.
* Lead the development, monitoring, and management of Lessons Learned, including facilitating reviews.
* Lead and take ownership over resource onboarding processes.
* End to end onboarding and offboarding for resources on to the programme & system.
* Regularly engaging with internal & external stakeholders.
* Cross-checking various sources of information.
* Owning & maintaining the resource database.
* Lead professional stakeholder relationships with a wide range of internal and external stakeholders and act as the lead point of contact.
* Develop documents for key board and senior management meetings. Like – Programme Board pack, Dependency tracker/agreement, Programme Update pack to name a few.
* Actively support the Programme Director/Manager, Delivery Manager, Product Manager wider Programme community on ad hoc requests as required.
* Establish a personal SMART development career plan to demonstrate commitment in progressing in the Programme/Project Management Office profession.
Skills & Experience:
You will have a passion for project work with the following skills or strong experience in:
* Working as a member of a project team, working to tight deadlines, managing priorities, and creating quality deliverables.
* Understanding of Project Management best practice principles, methodologies, and tools (MS packages e.g. Excel, PowerPoint, Word, Microsoft Project Online (MSPO), Power BI, SharePoint).
* Having strong project management and organisational skills, with an understanding of finance management, planning, risk management and dependency management.
* Building productive relationships with internal and external stakeholders, managing conflicting priorities to keep project delivery on track.
* Having excellent verbal and written communication skills, with the ability to translate technical jargon into easily understandable information.
* Collating and interpreting data from multiple sources, providing digestible insights and reports. The skills outlined above are reflective of the specialist skills listed in the Home Office Enabling Professions Skills and Development Model.
