Job summary
An exciting opportunity has arisen to join the DMEC Administration Team on a fixed term or secondment basis covering Maternity Leave for 12 months.
We are looking for someone with some typing skills and the ability to provide administration support to a busy team who provide a secretarial/administration Consultants and their teams.
You will be motivated, have excellent communication skills and be able to work on your own initiative.
The post-holders will work as part of a team in a shared office environment.
Main duties of the job
1. To assist the Support Manager and other APA's in providing a comprehensive secretarial service, organising and making arrangements, typing and distribution of documents and reports, recording information and filing, ensuring that all information and documentation is produced to expected standards of performance, and according to agreed timescales.
2. Provide a comprehensive clerical service to the Divisions, undertaking all relevant work-related tasks including retrieval, preparation and filing of patient information/data, correspondence, photocopying and emailing.
3. Maintain systems and process to ensure that patient information/data is available at the right time, that they are in the right place, and that they are complete and accurate according to the agreed quality standard.
4. Dealing with a varied range of phone calls and supporting patient queries, members of the Trust and external colleagues appropriately.
5. Supporting the management team in RTT and validating pathways.

Job responsibilities
6. Update patient information/data when patients have been seen, according to the agreed quality standard, locate and retrieve supplementary documentation for patient information/data as required, filing diagnostic reports and essential documents in the appropriate place.
7. Maintain the case note tracking system, ensuring that is functioning correctly, promptly solving and/or reporting difficulties and hold-ups.
8. Be able to use the required electronic systems for correspondence, clinic management and the retrieval of results, as and when required.
9. Be able to validate RTT pathways and provide responses to senior management for performance group meetings.
10. Maintain constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of services to patients.
