JOB TITLE:
RECEPTIONIST
REPORTS TO:
RECEPTION MANAGER/PRACTICE MANAGER
HOURS:
18-20 hours per week
Job Summary:
The purpose of the role is to:
1. Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
2. Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
3. Facilitate effective communication between patients, members of the practice team, secondary care and other associated healthcare agencies.
Job Responsibilities:
Duties and responsibilities may include any or all of the following:
1. Processing personal and telephone requests for appointments, visits and telephone consultations, ensuring callers are directed to the appropriate healthcare professional.
2. Processing and distributing incoming (and outgoing) mail.
3. Taking messages and passing on information.
4. Filing and retrieving paperwork.
5. Initiating contact with and responding to requests from patients, other team members, and associated healthcare agencies and providers.
6. Ensuring an effective and efficient reception service is provided to patients and any other visitors to the practice.
7. Dealing with all general enquiries, explaining procedures and making new and follow-up appointments.
8. Using judgment and communication skills to ensure that patients with no prior appointment but who need urgent consultation are seen appropriately.
9. Explaining practice arrangements and formal requirements to new patients and those seeking temporary cover.
10. Receiving and making telephone calls as required, diverting calls and taking messages accurately.
11. Entering requests for home visits and ensuring all relevant details are recorded.
12. Actioning repeat prescription requests and ensuring they are ready for collection within 72 hours.
13. Advising patients of relevant charges for private services, accepting payment and issuing receipts.
14. Opening the premises at the start of the day and ensuring it is secured at the end of the day.
