The postholder will provide a high level, competent, comprehensive administrative support to the Heads of Service.
The postholder will have day-to-day management for staff within a dedicated administrative team who will be responsible for delivering an effective service.
The postholder will support Clinical Leads/Service Managers with Personal Assistant (PA) duties.
To provide cross cover within the Clinical Groups at times of short staffing levels to ensure the smooth delivery of services within the Division.
Main duties of the job
1. Support other members of the Clinical Group on a day-to-day basis, by prioritising and managing own and team workload including outsourcing.
2. Review and prioritise all correspondence received requiring clinical input, ensuring that any further information required by the Clinical Lead/Service Manager is made available.
3. Complete quality control checks across administration functions within the Clinical Groups (i.e. ensure SOPs are adhered to).
4. Provide the first point of contact for written and telephone enquiries on behalf of the Clinical Lead/Service Manager, using judgement to establish the validity and priority of the contact.
5. To provide a customer focused service to patients and be able to communicate effectively and appropriately with patients and all levels of staff maintaining confidentiality at all times.
6. Manage and maintain the Clinical Lead/Service Manager diary or appointment system, ensuring that utilisation of time and allocation of appointments is appropriate.

Detailed job description and main responsibilities
The post holder is responsible for managing and prioritising workload and contributing to the provision of a well-led professional, efficient, accurate and timely service.
Management responsibility: Day to day management of Support Administrator(s) (as appropriate).
Person specification
Qualifications/ training
* GCSE or equivalent in Maths and English
* NVQ3 Business Admin or equivalent
* Evidence of continued learning and development
Experience
* Relevant medical secretarial/ administrative experience in an office environment
* Experience of providing meeting administration support, formal minutes/note taking.
* Experience of using Microsoft systems including word processing, excel and outlook
* Line management or supervisory experience
Skills/knowledge
* Knowledge of paper and electronic records management
* Excellent organisational skills and ability to prioritise and meet deadlines.
* Excellent IT skills and proficient with MS Office applications.
* Ability to accurately populate and monitor databases and spreadsheets with an eye for attention to detail.
