Job Purpose
Job title: Property Contracts Coordinator
Advertised Salary: c.£27,500 (full time equivalent)
Location: Working from home, must have access to Ellesmere Port, Leeds or Birmingham for occasional face to face meetings and site audits.

Our Property Contract Coordinators deliver a contract service to the Estates Team; providing support to the business across multiple property contracts using technical knowledge of systems, processes, financial and legal requirements, ensuring Canal & River Trust operates safely and efficiently with defined standards. The role will enable the contracts to run effectively, ensuring statutory compliance is maintained/achieved across the estate and in line with the Trust’s financial budgets.
Knowledge, Skills/Qualifications & Experience
Key accountabilities:
* Ensuring Programmes of works are provided and adhered to in line with agreed Contract Service Level Agreements (SLA’s) and Key Performance Indicators (KPI’s).
* Ensuring certification and documentation is provided in line with agreed SLA’s and KPI’s and updated as appropriate.
* Uploading of all relevant certification and documentation to the Trust’s internal systems.
* To assist with the reviewing of relevant certification and documentation for recommendation of remedial works and costs associated with.
* To act as first point of contact between Trust Stakeholders and the relevant Property Contractors.
* Ensuring reactive and emergency works are delivered in line with agreed SLA’s and KPI’s.
* To assist with the raising of Purchase Orders and the review of monthly applications and invoicing.
* Assist the Estates Team and Responsible Person(s) with: site audits; Admin support on Project works including tender submissions.
* Members of the Estates Team – including Operational Property, Building Consultancy and the Mooring’s Teams - Taking instruction from various team members and also directing enquiries to the relevant Responsible Person(s).
* Property Contractors– Acting as the first point of contact between Trust Stakeholders and the relevant Property Contractors.
About you
The Trust is looking for someone dependable and resilient that uses their initiative effectively to solve problems. The successful applicant will be highly organised, with strong attention to detail and the ability to handle multiple tasks simultaneously.
Technical:
* Experience in scheduling and programming works.
* Established administration background, with experience working in a property-based role desirable but not essential.
* Knowledge of Computer Aided Facility Management (CAFM) (or similar) systems.
* Strong technical and computer-based skills including SAP and Microsoft 365.
General:
* Ability to plan, prioritise and allocate works.
* Excellent communication skills essential.
* Comply with Canal & River Trust Health & Safety policy and defined standards, report incidents, accidents and near misses.
* Assess the risks and make adjustments to work methods where appropriate.
* Ensure all equipment (PPE, plant, materials etc.) is appropriate for the task.
