JOB DESCRIPTION
Job Title: Business Unit Sales Coordinator (BUSC)
Location: London
Purpose of the Job:
To provide a comprehensive and flexible administrative support service to the Business Unit Leader and Business Development Manager.
Key Responsibilities:
1. Assist with all sales opportunities for the Business Unit, supporting the Sales Team throughout the sales process.
2. Ensure completion of all Pre-Qualifying Questionnaires for the Business Unit.
3. Assist in the production of supporting Sales Literature, including ITT, RFP, RFI, and sales brochures.
4. Arrange all sales calls with Senior Team members on an adhoc basis.
5. Work with our Sub-contractors and Business Development Manager to ensure the best price for all sales opportunities.
6. Support Mobilisation as required.
7. Ensure business policies and processes are effectively communicated and implemented within the Business Unit.
8. Ensure the provision of healthy and safe working conditions and that both clients and Company health and safety policy and process are effectively implemented across the Business Unit.
9. Arrange all Contract Review Meetings throughout the year for all Contract Managers, Area General Managers, and Business Unit Leaders.
10. Complete Business Unit Review Pack each month ahead of Business Unit Review.
11. Manage all QHSE online reporting (to include Hazards, SmoWP, Audits).
12. Complete Audit Schedule each year.
13. Track all holidays and sickness for Senior Management Team on behalf of Business Unit Leader.
14. Ensure staffing structures on all contracts are updated when requested.
15. Adhoc event management upon request.
16. Diary and Email Management for Business Unit Leader.
17. Adhoc Travel arrangements for Business Unit Leader.
18. Work with other Operational managers to ensure collaborative development of the business, effective team working, and support to colleagues.
19. Promote and maintain the core Values of CBRE Managed Services.
20. Provide guidance, advice, coaching, and support to all other Business Unit Coordinators within the business, as required.
21. Deliver effective business communication through advice, review, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad-hoc reporting, and other publications, as appropriate.
22. Provide a learning environment and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential.
Accountabilities:
1. Reporting to a CBRE Managed Services Business Unit Leader and Business Development Manager.
2. Accountability to the CBRE Managed Services functional heads, as appropriate.
3. Accountable day-to-day to the relevant team members.
Key Skills:
1. Good knowledge of Business Unit and wider CBRE.
2. Strong communication skills, both verbally and written.
3. Provide accurate administration of all paperwork generated at Office level.
4. Highly efficient in the use of Microsoft Outlook, Excel, and Word.
5. Work within a busy office environment and support office teams to ensure smooth running of day-to-day activities.
6. Find and obtain information and documents quickly.
7. Strong numeracy skills.
8. Excellent attention to detail.
9. Quickly learn about new in-house systems.
PERSON SPECIFICATION:
Education:
1. Good basic education to GCSE (or equivalent standard), which will include an English and Maths qualification. [Essential]
2. Higher educational qualifications to A level/HNC/D would be beneficial. [Desirable]
Training:
Very proficient in the use of Word, Excel, Access, and PowerPoint. [Essential]
Experience:
1. Experience of a similar role in a medium-sized business. [Essential]
2. Well-developed communication skills enabling the individual to work with Senior Managers, clients, suppliers, and staff of all levels and abilities. [Essential]
Aptitudes:
1. Excellent command of the English language demonstrated through good verbal and written communication.
2. Detail conscious, accurate, and methodical in approach.
3. Strong organisational and communication skills.
4. Able to work systematically and use own initiative.
5. Able to work on more than one task at any given time.
6. Must demonstrate strong interpersonal skills and be able to work as part of a team as well as independently.
