Our client based at Washington requires an experienced service administrator.
Overview
The ideal candidate will play a crucial role in ensuring the smooth operation of our service department by providing exceptional administrative support. This position requires strong organisational skills, proficiency in data entry, and familiarity with various software applications.
Responsibilities
* Answer incoming Telephone, email requests for planned and reactive maintenance promptly
* To log all breakdowns & record accurately on internal systems
* Allocate engineers to attend site
* Inform the customer of when engineer will be attending site
* Produce & provide service repair quotations
* Co-ordinate with all departments
* Action all incoming emails etc for service breakdowns
* Ensure all engineers send in their job sheets after attending site
* Invoice engineers job sheets on a daily basis
* Produce ad-hoc reports as required form time to time
* To carry out special projects as required by the management
* Manage and maintain accurate records of service requests and customer interactions.
* Perform data entry tasks efficiently and accurately to ensure all information is up to date.
* Assist in clerical duties such as filing, scanning, and organising documents.
* Provide excellent phone etiquette when communicating with clients and colleagues, ensuring all enquiries are handled professionally.
* Ensure that the office environment remains organised and conducive to efficient work-flow.
Experience
* Proven experience in an administrative role or similar position is preferred.
* Proficiency in data entry with a strong attention to detail is essential.
* Excellent organisational skills with the ability to manage multiple tasks simultaneously.
* Strong phone etiquette and interpersonal skills for effective communication with clients and team members.
* Competence in using computerised systems, including Microsoft Office Suite
