The successful candidate will: provide a complete administrative support function to the Head of Operations for the North East and Yorkshire and Humber and UKHSA Leeds Regional Laboratory by; on a day-to day basis, performing duties such as the typing of letters, reports and papers for publication and the preparation of audio-visual aides etc., using the appropriate computer package. organise meetings pertaining to the laboratory and commissioned services (involving room bookings), minute taking and informing attendees of meeting arrangements. Assist with incident reporting and monitoring on Trackwise, manage mandatory training schedules, equipment service contracts/equipment logs, asset registers and flexi-time records. organise domestic and international travel requirements for the management team, provide support with recruitment requirements, personnel files, and function as the DSE coordinator for the Leeds laboratory. upload and receive consumable orders for the laboratory and process on the Money and People Services system (MaPS), this will often involve phoning suppliers and obtaining up to date prices and product details. The post-holder will also enter goods received notes on to the system and maintain a file of all orders which will be updated daily. Place and follow up urgent orders by telephone as required. utilise MaPS to raise invoices for Clostridium difficile Ribotyping Network (CDRN) services. support CDRN staff by undertaking data entry and interpreting information on the laboratory computer systems including the use of the Laboratory Information Management System (LIMS) for clinical samples, always maintaining the required level of confidentiality, in accordance with Caldicott Guidelines and the Data Protection Act. Location This role is being offered as hybrid working based at our lab in Leeds. As a hybrid worker, you will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, (averaged over a month) working at the above location. UKHSA services delivered by the Leeds Regional Laboratory are normally only provided within core office hours (Monday-Friday 8.30am 5pm). You will not usually be required to work outside of these hours. However, there may be occasions (e.g., public health emergencies and pandemics) when UKHSA requires you to work outside these hours (e.g., evenings, weekends, bank holidays) to deliver the required response. Payment and time off for any such work required will be in accordance with the national provisions.
