Job Title: Document Services Technician Location: Fully remote (Occasional Inter-Office travel required) Type: Part-time; 21 hours per week over three days. Working a Friday is essential. Purpose of the role: To provide remote proactive and professional support for all practice groups across the firm including (but not limited to) audio/digital dictation typing, copy typing, amending/formatting large and complex documents, producing comparison documentation, Word/PDF conversion and manipulation plus the preparation of diagrams, slides, spreadsheets other ad hoc requests as required. This role calls for experience for advanced layout /creative skills in MS Word, PowerPoint and PDF conversion software to allow the formatting and layout of business-as-usual, business development documentation in pre-set MS Word and PowerPoint templates. In addition to following template specifications for layout, the individual will create, format and adapt charts, maps, photographs and other graphic elements in readiness for highly visual presentations that functionally work well in addition to looking visually pleasing and are on brand. The jobholder will work closely with the Business Development Brand and Comms team and the in-house creative agency to ensure the Pinsent Masons' visual identity standards are upheld. A team working and collaborative approach towards colleagues is essential to fulfil the needs of the business. Main duties and responsibilities: Document Services High attention to detail - taking responsibility for producing, checking own work for accuracy of typing, layout, consistency of format and quality and returning documents in accordance with corporate standards and service SLAs. Format documents for print - understand pagination and document page setup required for in-house, digital and printing methods. Managing production of large documents (produced in-house and externally) during the negotiation of a transaction, coordinating changes made to those documents by the legal team and client teams including taking responsibility for the consistency of those documents throughout the transaction. Work alongside our creative/DTP team managing Business Development templates, including bids, flyers, legal updates, team booklets and team sheets whilst maintaining brand standards, consistency of message, design and promoting regulatory compliance across all BAU materials with guidance from the Brand and Comms team. Work to a design brief, either submitted from a client, the Brand and Comms team or The Design Bar, produce layout and format accordingly. Able to create, amend and adapt, maps, graphs, charts, tables, imagery and lawyer photography and, with guidance from the Brand and Comms team, maintain and promote visual identity best practice. Task Management (when/if required) Assist the Workflow Coordinator/Document Services Manager as required. Re-negotiate/discuss deadlines with clients, updating them on work progress, delays or alterations to production ensuring job details are correct. Responsible for ensuring working procedures and processes are followed, seeking to improve these wherever possible. Escalation of workflow coordination, capacity, client or team issues to the Workflow Coordinator or National Document Production Services Manager. Promptly log tasks onto appropriate systems (e.g. BigHand, personal workbooks), including direct liaison with clients to check instructions or deadlines when required. Client Service Projecting a positive image of the Firm when dealing with internal and external clients. Building and maintaining effective relationships with internal clients and their teams. Ensuring and taking responsibility for consistently delivering excellent client service. Proactively communicating with clients to clarify instructions and, where appropriate, answering lawyers' calls/emails and taking ownership of queries/requests ensuring the caller receives a satisfactory response. Remoting on to callers' screens via Microsoft Teams to assist them with any queries or issues they may be facing. Team working and Personal Impact Communicate effectively with workflow, management and peer teams to help effectively manage the lifecycle of task requests from submission to completion. Proactively working with all other members of the team to ensure that the overall needs of the business are delivered consistently and efficiently. Taking responsibility for providing a high-quality document production, promotional and presentation service to the firm, this includes sharing skills and ideas with the team. Quality checking documents when required. Updating the Workflow Coordinator on capacity and promptly alerting them if a deadline requires renegotiation. Flexibility around start and finish times; due to the nature of this role and the business needs it is essential that technicians are willing to work extra hours as and when deadlines require, particularly when large deals are closing. Candidate Overview: We are looking for candidates who ideally hold the following skills and experience: Advanced document skills to include accurate typing, spelling, grammar and proof reading, with the ability to write clear business correspondence. Advanced Word skills; such as styles, cross-referencing, tracked changes, table of contents, etc., including the desktop formatting and creative aspects of the software. Advanced knowledge of PowerPoint: embedding files, animations, transitions, etc. Advanced knowledge of Excel: formulas, pivot tables, charts, conditional formatting, etc. (desirable). Advanced knowledge of PDF conversion, manipulation and comparison software. Advanced knowledge of automatic numbering and house styles. Experience of document management system known as FileSite/Worksite/DMS. Good knowledge of Outlook. Good knowledge of Visio (desirable). Knowledge of print/production processes and brand/visual identity best practice (desirable). Knowledge of DocuSign (desirable). What can we offer you?
