Main function of job:
This is a key position within the firm as it is the first point of contact for our clients. The overall responsibility is therefore to provide a professional and efficient service both internally and externally.
Main duties:
1. Opening and scanning incoming mail.
2. Franking all outgoing mail.
3. Continual Professional Development (CPD) work.
4. Answer all incoming calls professionally and efficiently.
5. To greet & deal with visitors in a professional manner.
6. Inputting Archive data.
7. Booking client records/in and out of the building.
8. Recording client documents and following procedure for their safe keeping.
9. Keeping meeting rooms tidy and stocked up with pads and pens.
10. Providing refreshments for client meetings.
11. General Reception duties i.e. booking couriers/ordering sandwiches etc.
12. Responsibility of opening and locking front doors.
13. To assist if required with general administration within other departments.
Equipment/Software Packages used:
Strong knowledge of MS Suite software and Outlook.
Qualifications/education Required:
Educated to GCSE standard.
Hours of work:
Monday, Tuesday, Thursday & Friday 8.30am-5.30pm.
Experience Required:
1-2 years’ experience within a Receptionist/Telephonist role.
Working knowledge of Microsoft Office and Microsoft Outlook.
It would be desirable for the candidate to have a working knowledge of a switchboard.
Aptitudes / Skills Required:
Excellent communications skills.
Excellent interpersonal skills.
Basic computer skills.
Flexibility – it may be a requirement to work additional hours for holiday/sick cover.
High level of personal presentation.
Reliable.
