About The Role
We at PEI Group are looking for an Event Manager to join our welcoming, diverse, and growing team based here in London. The successful candidate will efficiently manage all aspects of event execution including pre-event preparation, onsite delivery, and post-event reporting for EMEA conferences.
Your main responsibilities will include:
Event Logistics:
* Customer communications
* Source and negotiate the best rates from vendors and suppliers and actively seek to maximise savings while maintaining service levels
* Liaise with the venue in the lead-up to events, including floorplan, F&B selections and venue function sheet management
* Create and deliver effective staff briefings
* Plan and design event signage
* Lead the team on the day of the event; managing staff and key event suppliers, assisting with speaker and sponsor queries
Event Technology:
* Build and manage virtual event platforms
* Upload delegate lists, agendas, and speaker information
* Create and send attendee communications
Marketing Collaboration:
* Work closely with the marketing team to maintain an up-to-date and accurate conference website and virtual event platform
Sponsorship Coordination:
* Collaborate closely with the sponsorship team and client relations team to ensure sponsorship deliverables are met
* Cost up any new inventory requirements
Financial Management:
* Process invoices promptly to facilitate timely payments
* Budget management and reforecasting
* Assist in post-event profit and loss accounting
Process Improvements/Project Management:
* Champion best practice processes across the team and cross functionally
Data Management:
* Utilize the CRM system to compile and maintain accurate attendee records
About You
Requirements
Qualifications & Experience:
* 2 – 4 years’ solid experience within B2B conferences/events or more
* Experience with working on multiple events simultaneously
* Experience with building and managing events platforms such as events apps and/or virtual event platforms
* Experience with being the sole lead on an event for 100 – 250 people – managing all aspects of the event from registration, speaker, sponsor & venue management to on-the-day running of the event including the virtual platform
Personal Attributes:
* Excellent communication skills, both written and verbal
* Possesses strong onsite leadership skills
* Organised and approachable – we’re looking for someone who’s friendly and pleasant to work with but can still balance priorities when it comes to deadlines
* Collaborative approach – an ability to work effectively across multiple teams
* High degree of personal pride in own and company work, constantly striving to improve
