About the Role
We are looking for a highly organized and enthusiastic Events Coordinator to join our team at DoubleTree by Hilton Edinburgh City Centre. In this role, you will be responsible for planning and coordinating a wide range of events, from corporate meetings and conferences to weddings and private celebrations. You will be the main point of contact for clients, ensuring every event runs smoothly from initial inquiry to successful execution.
Key Responsibilities
Manage and coordinate all event bookings, ensuring client needs are met with professionalism and efficiency.
Work closely with clients to understand their vision and tailor event details accordingly.
Liaise with internal departments (e.g., catering, operations, and front desk) to ensure seamless event execution.
Create event schedules, floor plans, and timelines, ensuring every detail is accounted for.
Handle administrative tasks, including contracts, invoicing, and budget management.
Provide on-the-day event support to ensure a flawless guest experience.
Build strong relationships with clients to encourage repeat business and positive word-of-mouth.
Stay up to date with industry trends and proactively suggest ways to enhance our event offerings.
What We're Looking For
Previous experience in event coordination, hospitality, or a similar role.
Strong organizational and multitasking skills, with the ability to manage multiple events at once.
Excellent communication and interpersonal skills, with a customer-focused approach.
Ability to work under pressure and problem-solve in a fast-paced environment.
A proactive and creative mindset with strong attention to detail.
Familiarity with event planning software and Microsoft Office Suite.
Flexibility to work evenings and weekends as required for events.
