Position Description & Scope
The Accounting Coordinator will provide comprehensive administrative support for the Accounting, HR, and Health and Safety teams. This part-time role ensures the smooth functioning of day-to-day operations and effective assistance with ongoing projects in a dynamic, global organization. The role will be 4 days per week (Monday - Thursday).
Position Duties & Responsibilities
HR Administration
* Assist with HR tasks such as drafting letters and maintaining records
* Schedule return-to-work meetings
* Track attendance and update records
* Attend disciplinary meetings to take minutes and provide administrative support
* Maintain and update the training matrix and coordinate training sessions
* Support onboarding of new employees
Health & Safety Support
* Manage and update HS postings
* Attend HS meetings, take notes, and support documentation compliance
* Assist in organizing HS records
General Administrative Duties
* Manage timesheets and project tracking
* Order and track supplies
* Maintain organized digital and physical filing systems
* Archive records per GDPR and data retention policies
* Schedule internal and external meetings, prepare agendas, and track follow-ups
* Assist in organizing employee engagement and social events
* Open and distribute mail
Finance Administration
* Accurately process AP and sales invoices
* Track department expenses (training, events, supplies)
* Enter purchase requisitions
* Credit Card Reconciliation
Communication
* Act as point of contact for internal and external admin/HR queries
* Draft and distribute internal memos and announcements
IT and Systems Assistance
* Provide basic systems access support and coordinate IT troubleshooting
Travel Coordination
* Book travel for offsite meetings or training sessions
Qualifications
* Experience in administrative support for Finance, HR & H&S experience is an asset.
* Strong organizational and time management skills
* Excellent attention to detail
* Proficient in Microsoft Office (Word, Excel, Outlook)
* Clear written and verbal communication
* Ability to multitask and prioritize in a part-time capacity
