The role/Purpose
We are seeking an organised, detail-oriented professional with a passion for luxury fashion to join our dynamic team. You will play a pivotal role in managing the systems, data, and processes that drive our sales success.
This role involves overseeing and streamlining customer and sales systems throughout the sales cycle, ensuring accuracy in pricing, orders, and account information. From supporting logistics and accounts to preparing seasonal reports and managing sample requests, you’ll collaborate closely with cross-functional teams to deliver exceptional service to our clients and stakeholders.
The ideal candidate will have prior administrative experience in a Sales environment, ideally coming from a role in wholesale or a highly analytical administrative role. Strong Excel skills are a must.
What you will be doing:
* Manage sales and customer systems and databases throughout the sales cycle to ensure company, stock, pricing and customer information is accurate at all times. This includes being responsible for:
* Wholesale and Retail pricing imports
* Order processing and order management (updating Pos where required)
* New account creation and existing account maintenance
* Seasonal reporting (style popularity W/S, style pop W/S + retail, style pop specific countries for Daisy’s analysis)
* Ensuring production and logistics upload images, HS codes, compositions, and COOs
* Update Accounts and Logistics if payment/shipping terms change, update the credit section with EORI/EINs
* For RTV ensure logistics/accounts send credit notes to customers if required
* Support logistics and accounts chase with managing customers and expectations for example, if the customer must pay or open their delivery window
* Oversee and manage wholesale customer enquiries by phone and email
* Manage the Sales SharePoint including ensuring seasonal pricing in different currencies, pricelists are available in pdf formats and uploading assets to seasonal folders
* Support Sales team for sales periods in Paris. Oversee the wholesale assistant and their responsibilities pre and post sales and that all logistics and arrangements are completed so that sales can run smoothly
* Support in the preparation and delivery where required of sales presentations and training for stock lists
* Be responsible for the sample management in particular relating to US trunk shows, and customer campaign enquiries
* Manage reorder requests by working with the appropriate person in production to understand feasibility and lead times before communicating with customers
* Provide management reporting on a regular and ad-hoc basis, including analysing trends and ensuring sales data is available for Monday meetings
* Maintain strong familiarity with Company products and collections
* Work collaboratively with production to ensure an understanding of the timelines for products and communicate any collection changes to the relevant individual (i.e. customers/ Daisy/ company)
* Liaise with logistics to ensure up to date knowledge of customer deliveries, outstanding orders, outstanding units, PPSs
* Lead on regular potential stockist research, including new areas, competitor activity & collections
What we need from you:
* Experience in an administrative/operational role within a luxury fashion brand, with an understanding of sales processes
* Strong interpersonal and communication skills to work collaboratively with other departments and to build and maintain customer relationships
* Good analytical skills with experience in running reports and preparing commentary on the data
* Outstanding organisational skills with the ability to manage multiple priorities in a calm and considered manner
* Confident and articulate, good in front of customers
* Strong IT skills with the ability to us MS office suite as well as databases and systems
* Good attention to detail and able to operate with high levels of accuracy
* Knowledge of other languages is a plus
