Crown Worldwide Group is currently recruiting for a Branch Manager to join their fast-paced Records Management Operations team.
Where you will be based:
This role will be based at our Peterborough site.
What is a Branch Manager to us? You will be responsible for the delivery of efficient operational services for both the physical warehouse and scanning services operations based in Peterborough. This is a significant role that reflects Crown's transition to become an increasingly digital service provider. You will manage the day-to-day running of our Peterborough teams, drive efficiencies, and help plan the growth of the business and its service capabilities. You will be responsible for overseeing physical operations as well as the scanning bureau, which includes teams of approximately 30 permanent & temporary staff.
What you will do:
SERVICE DELIVERY
1. Organise and control the monthly/weekly/daily workload to be delivered by the Peterborough Team Leaders and their teams.
2. Deliver the highest quality of service in line with the requirements of the customer and our own quality standards. Ensure achievement of Customer SLA’s and KPI’s on site.
3. Accurate cost control in line with profitability targets required for monthly and longer-term project commitments.
4. Provide effective Management Information to create a clear view of the business’ performance. Introduce dashboards and similar capabilities where a need is identified.
5. Plan and model the growth and profitability of the scanning business, including allocation of human resources, equipment, and space.
6. Performance monitoring and reporting of KPI’s, SLA’s, and quality ensuring that an exceptional level of service is achieved in line with customer requirements and Crown’s Brand Values.
7. Act as a functional role model throughout the branch for the operation.
8. Successful adoption of the Crown Purpose by team and personally.
9. Monitor and improve existing processes through continuous improvement, such as LEAN Six Sigma methodologies.
10. Ensure that all work is completed in line with the requirements of the relevant formal standard such as ISO27001.
11. Manage Operations teams and ensure that day-to-day service provision is undertaken in accordance with the Records Management Operations manual as set out for ISO9001 accreditation.
12. Respond to daily customer orders in the appropriate manner. Where customer orders cannot be met for any reason, this needs to be relayed to the Customer Service team, Operations Manager, or Account Manager, and the customer needs to be duly informed.
13. Ensure work orders for provision of services to the customers are created accurately and in accordance with ISO9001.
14. Work with Project Manager and Operations Manager to achieve SLAs for out-of-scope project work.
COMMERCIAL
1. Understand cost management, pricing approaches, and other necessary requirements to drive profitable business.
2. Work with the Finance team to ensure that work in progress and costs are fully visible, highlighting key ingredients for growth and any investment in people or infrastructure needed to meet our future needs.
3. Achieve quarterly/annual growth, revenue, and margin targets within your control.
4. When new work is won, work with all relevant personnel to ensure the scanning solution is delivered to drive revenue and profitability as quickly as possible.
HR/PEOPLE MANAGEMENT
1. Manage the Peterborough scanning team with the support of team leaders and other staff.
2. Lead your direct reports to deliver high levels of quality service in line with their roles.
3. Undertake weekly team meetings with the Scanning Services Supervisors.
4. Support on HR issues where required.
5. Coordinate role-specific staff training to ensure the team is fully trained and following procedures and processes.
6. Ensure that standard policies and procedures are rolled out across the site in a timely manner.
7. Support the introduction of new skills and capabilities to support the introduction of new services.
8. Promote, monitor, and maintain a good level of security, Health & Safety throughout the Peterborough facility.
HEALTH & SAFETY
* Ensure H&S of the branch are managed to maintain high levels of safety both at the branch and with the fleet.
* Comply with all company H&S audit (internal and external) requirements.
* Ensure weekly fire alarm checks are undertaken, noting the break glass location tested together with the date and any relevant comments.
* Carry out relevant fire drills and organise and record the maintenance and serviceability of fire-fighting equipment, emergency exits, and no smoking signs.
* Keep the warehouse and yard areas clean at all times and clear any/all obstructions, all in accordance with the site specifications. Advise the relevant contractors of any reactive repairs and inform Operations Manager as well as Compliance teams where appropriate.
* Ensure PPM schedules are followed and ‘Control of Contractors’ measures are adhered to.
SITE SECURITY
* Ensure the daily facility lockdown procedure is monitored and completed according to strict guidelines issued.
* Ensure that all sensitive material and Work in Progress is kept secure and only visible when needed for scanning and operational projects. This includes maintaining the clear desk policy.
* Maintain security of the facility at all times and work to constantly improve awareness and vigilance.
About you:
To be successful in this role, you will have experience managing scanning operations and be located within a commutable distance of our Peterborough location. You will be a people-oriented manager with strong supervisory skills and the ability to lead and direct your team. An awareness and understanding of Document Management software solutions is required to support the growth of innovative scanning propositions. Experience and knowledge of Kofax Capture Software and associated Scanning Hardware (IBML, Kodak, etc.) is desirable but not essential.
