Operations Administrator - 5 days Full time
Location: London (E16) Based 3-4 Days Per Week / Home Working 1 Day Per Week / Visits to our Northampton Warehouse Once a Month
Salary: £28,000 - £30,000

Reporting to: Logistics Manager
Key Responsibilities:
Email & Communication Management
* Manage and respond to operational emails.
* Communicate with internal and external stakeholders, including vendors, clients, and team members.
* Coordinate calls and messages with relevant personnel.
* Follow up on outstanding information and requirements.
* Liaise with contractors, partners, and team members for event-related logistics.
Event & Logistics Coordination
* Manage event portals and update relevant information.
* Handle accommodation and travel bookings where needed.
* Obtain and upload receipts for travel and accommodation expenses.
* Update and cross-check critical sheets, including GANTT charts, planners, and accommodation records.
* Process event passes, badges, and accreditations.
* Complete compulsory event forms and documentation.
* Monitor and update show times and logistics planning.
* Coordinate build & break slots and inductions for events.
* Ensure all necessary event requirements, including RAMS and compulsory documents, are met.
Document & Data Management
* Upload, download, and distribute necessary passes to staff.
* Maintain and cross-check multiple event-related platforms for consistency.
* Ensure accurate and up-to-date documentation for future shows.
* Manage compulsory forms and required submissions for upcoming events.
* Handle Jotform entries and updates.
* Maintain accurate records for RAM Tracking and BP Fuel Cards.
Meetings & Coordination
* Schedule and attend meetings with key stakeholders.
* Prepare agendas, take minutes, and follow up on action items from meetings.
* Regularly update and review planner, GANTT charts, and accommodation sheets.
* Assist in logistics discussions related to exhibition stands and venue arrangements.
General Administrative Duties
* Manage inbox and prioritise email communications.
* Oversee submission of key event forms and compulsory documentation.
* Follow up with show organisers for additional requirements and last-minute changes.
* Keep stakeholders informed about project status and critical updates.
* Assist with general administrative support as required.

* Excellent verbal and written communication skills.
* Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
* High attention to detail and accuracy.
