Job Purpose
We are seeking a highly organised and proactive administrator to join our team and make an essential contribution to the GALLANT research programme. The University of Glasgow, in partnership with Glasgow City Council, are engaged in a £10.5 million research programme: GALLANT - Glasgow as a Living Lab Accelerating Novel Transformation, which is funded by UKRI NERC as part of their Changing the Environment strategic investment. University researchers across a wide range of disciplines, from environmental sciences, arts and humanities, through social sciences, to public health, chemistry, engineering, biodiversity and more, are working with public, private and third sector partners to help the city move towards climate resilience whilst tackling health, social and economic inequalities.
The successful candidate will be responsible, in support of the GALLANT Programme Manager and Principal Investigators (PI/Co-PIs), for proactively managing the day-to-day administration of GALLANT, to ensure delivery of an efficient and effective programme, underpinned by a continuous improvement culture.
Main Duties and Responsibilities
1. Administrative Support: Proactive delivery of day-to-day administrative support to the GALLANT Research Programme as a whole, including providing first point-of-contact for queries, responding or triaging as appropriate.
2. Budget Management: Undertaking the lead role in managing (monitoring and reporting) the GALLANT Work Package and Workstream non-salary budgets under the supervision of the GALLANT Programme Manager and with the support of College Research Office.
3. Operational Procedures: Leading development, implementation, ongoing review, and dissemination of GALLANT operational policies and procedures, to ensure the GALLANT Team are compliant with all Funder, College and University requirements and regulations.
4. Reporting: Gathering, organising, maintaining and entering data for funding body reports, including the annual UKRI Researchfish entry, in support of the GALLANT Monitoring & Evaluation Coordinator.
5. Communications Support: Supporting the GALLANT Communications Coordinator with maintaining GALLANT web pages and other tasks as may be required.
6. Events and Meetings: Leading on planning, supporting, and providing secretariat for all-GALLANT meetings and events including the production of agendas, papers and minutes timeously and driving action between meetings. Supporting the PI/Co-PIs and Programme Manager with senior governance body communications and meetings. Supporting Work Package / Workstream event organising by advising teams on calendaring, room bookings, catering, and provision of materials.
7. University Services Liaison: Developing and maintaining excellent professional relationships, and liaising, with relevant service and support teams across the University on behalf of GALLANT.
8. Continuous Improvement: Identifying opportunities for process improvement and efficiencies and working with the GALLANT Programme Manager to implement change.
Duties and responsibilities are not exhaustive and the post-holder will be expected to be co-operative and flexible, undertaking such other duties as may be reasonably expected by the GALLANT PI and Programme Manager.

Knowledge/Qualifications
Essential:
A1. Either: Ability to demonstrate the competencies required to undertake the duties associated with this post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role.
A2. Knowledge and understanding of the UK higher education research environment.
A3. Knowledge of project or programme administration and/or management techniques.
A4. Knowledge of environmental issues and solutions.
Desirable:
B1. Administrative, finance, or management qualification or training.
Skills
Essential:
C1. Excellent oral and written communication skills, including tact, diplomacy and discretion, and the ability to make suggestions and to challenge.
C2. Proven analytical skills including the ability to review and digest complex information and to summarise conclusions and provide recommendations for consideration by the senior team.

Experience
Essential:
E1. Experience of providing administrative support in an academic or research environment.
E2. Experience of working on an externally funded research project or programme.
E3. Experience in financial administration, including use of standard financial software tools.
E4. Experience gathering and analysing data for, and preparing, accurate reports for internal and external stakeholders.
Desirable:
F1. Experience working for University of Glasgow in an administrative role.
F2. Experience working within or collaborating with a Scottish local authority or other public sector organisations.
F3. Experience of using the University of Glasgow’s finance software (Agresso – either within the University or elsewhere).
F4. Experience in using T4 or similar web content management system to update web content.
Terms and Conditions
Salary will be Grade 6, £33,232 - £36,924 per annum.
This post is full time (35 hours per week), and has funding available until 30 January 2027 in the first instance.
