Job Purpose: This role is primarily responsible for Quintain Living In-Block Service Charge accounting including the production of relevant and timely management information, budgeting and forecasting. To provide a detailed understanding of the service charge regime across each development and help to manage expenditure and maximise recoveries. This position will assist in the creation and ownership of service charge models for each block; working with management to ensure that reliable budgets are produced on a timely basis so they can be communicated and billed to tenants, reported internally monthly and reconciled and audited at year end. Key Accountabilities: In collaboration with Director of Finance, Quintain Living and Finance Manager, Wembley Park Retail and Estate, manage the accounting for the annual block service charge budget, quarterly reforecasting, liaising across functions. Offering valuable insight into the development of the service charge setting process and ensure that this process is applied consistently across each block in line with RICS Best Practices. Manage the service charge models, update for any new costs, tenant level apportionments and recommend any cost allocation and process improvements. Conduct regular reviews of the model to ensure it is still fair and appropriate as new assets come online. Raise tenant demands for service charges on a quarterly basis and any other miscellaneous charges on a periodic basis. Responsible for the recovery efforts of non-Quintain buildings and apportionments. Monitor KPI’s such as aged debt alongside supervising credit control activities and arrears reporting, including chasing tenants for payment and flag any financial risks to the business. Perform month end close activities: monthly review of budget vs actual expenditure and balance sheet analysis, providing commentary to explain variances; monthly reconciliation of apportionment of costs. Preparing monthly reporting. Responding to service charge queries as well as understanding the impact of potential changes in policy or legislation. Conducting year-end procedures: preparing trial balance reports, preparing year-end income & expenditure reports and reconciliations. Managing the relationship with the external service charge auditors, ensuring year-end service charge accounts and tenant packs are completed and issued on time. Partner with key stakeholders and manage service charge purchase orders and budget extensions required. General Accountabilities: Undertake additional relevant duties which fall under the general scope of the role, as directed by your Manager, raising any issues with capacity so they can be properly managed. Participate in the full year and half year Performance Development Review process as reviewer and reviewee, meeting the standards and timescales required by the Company. At all times ensure that your understanding and skill level regarding the Company’s IT systems are up to date, as applicable to your role. Undertake IT training as required to ensure full and proper use of the available technology. Qualifications/Experience/Skills: Qualified professional accountancy qualification (CIMA, ACCA or ACA). Must have service charge accounting work experience in previous position. Excellent understanding of RICS service charge code and relevant legislations. Experience of producing regular management accounts and managing budgets. Experience of adapting or streamlining processes to maximise efficiencies. Enthusiastic, flexible and innovative team player who is comfortable working both independently and as part of a commercial team. IT literate with intermediate to advanced Excel skills. Excellent communication skills. Previous experience of using Proactis and Access Dimensions highly beneficial but not essential.
