The Partnerships Team plays a crucial role in enhancing the health and stability of Mozilla Foundation by expanding and diversifying our grant and corporate fundraising efforts. The team is instrumental in building a dynamic and engaged philanthropic partnership network. Internally, we lead initiatives to cultivate a culture of philanthropy within Mozilla, emphasizing that everyone in the organization plays a vital role in fundraising and raising awareness about our mission and impact.

Position Summary:
The Partnerships Team is looking for a dedicated Grants Manager to join us as we implement our strategic plan aimed at revenue growth from diverse funding sources, including grants from private foundations, U.S. and foreign government agencies, and corporations. Reporting to the Partnerships Operations Manager, the Grants Manager will oversee all incoming grants management. Collaborating with finance, and program teams, the Grants Manager will handle every aspect of the grants process, from pre-award proposal development to post-award and award administration and closeout. The Grants Manager will serve as a key advisor on grants management issues, including legal and compliance matters, expenditure documentation processes, and grants budget development. The role involves close collaboration with multiple teams across the Foundation and strong partnership with Finance, Outgoing Grants Management and Legal teams.

Pre-Award Proposals:
1. Develop and review complex proposal budgets that align with funder and Mozilla’s guidelines and priorities in partnership with program, fundraising, and finance teams.
2. Review proposals to ensure that the proposed project complies with Mozilla policies and funder guidelines.
3. Collaborate with the fundraising and program teams to respond to funding opportunities, including compiling required financial-related attachments and assembling appropriate organizational supporting materials.
4. Review all incoming grant agreements for their financial requirements and provide advice on their application, feasibility and practical implementation in collaboration with the Finance team.
Post-Award & Closeout Administration:
Budget management tasks:
5. Coordinate all financial reporting aspects of grants, providing guidance on expense allocation to specific funders.
6. Lead and support decision-making on grant expenses, interpreting whether an expense is appropriate and allowable within the grant framework, budget, goals and general conditions.
7. Oversee the tracking and monitoring of a grant budget versus actual expenditures to ensure expense charges are allowable, allocable and reasonable.
Other responsibilities:
8. Regularly meet with program staff (including Directors and VPs) in order to exchange updates and track budget and project progress.
9. Oversee the grant reporting process which includes managing the Incoming Grants reporting calendar, the review of report narratives, completion of financial reports, and submission of all required report materials.
10. Support the annual audit, donor-led audits for grants/contracts, and US Federal audits.
11. Identify areas of significant risks and advise program staff and other internal stakeholders on compliance issues.
12. Work with program, fundraising, finance and legal teams to provide technical support and resolve grants management issues.
Grant Administration:
13. Support the Partnerships Operations Manager with tracking proposals, award receipts, and award reporting.
14. Develop and implement improved processes, policies, procedures, and guidelines to facilitate better management of and accountability for grant income.
15. Oversee in collaboration with the Finance team the US Federal Grant Compliance in accordance with CFR regulations, create and lead all US Federal Grants training, and maintain final copy of all US Federal Policies and Procedures.
16. Lead communication on all grant audits including US Federal Single Audits in collaboration with Finance.
17. Update and manage organization of all shared electronic and hard-copy grants files on a regular basis and ensure grant records are updated in CRM.
Your Professional Profile:
18. Minimum 5 years of grants management administration experience.
19. Experience working on a wide range of incoming grants including those from government agencies (U.S. Federal and/or European Commission funding ) and private foundations.
20. Highly proficient with developing budgets and proposals for medium and large-sized grants (six figures or higher).
21. Strong comfort with fund accounting concepts and GAAP including expense accruals and revenue recognition requirements.
22. Excellent understanding of grants-related legal and compliance requirements.
23. Exceptional attention to detail, organizational skills, and ability to multitask.
24. Comfortable working with globally dispersed cross-functional teams.
25. Excellent interpersonal and communication skills to efficiently and concisely deal with a wide range of partners both internally and externally.
26. Experience working with software platforms to support job responsibilities and tasks including sound Excel and/or Google Sheet skills.

The Mozilla Foundation is dedicated to fair and equitable compensation for our staff. We aim to pay a competitive and market-based salary based on the responsibilities and requirements of the role. We do not ask for, or take into account, salary histories in our offer process.
