Full job description
Job Responsibilities
1. GENERAL ADMINISTRATION
1. To have a thorough knowledge of all practice procedures.
2. Pulling/filing notes for surgeries and updating as necessary.
3. Processing and distributing incoming and outgoing mail.
4. Filing and retrieving paperwork/correspondence, including filing to patient records.
5. Computer data entry, processing and recording information in accordance with practice procedures.
6. Providing clerical assistance to practice staff as required, including word/data processing, filing, photocopying, and scanning.
7. Cover sickness/annual leave and work reasonable overtime when required, including some weekends.
2. RECEPTION
1. Receiving patients, consulting with members of practice team.
2. Handing completed repeat prescriptions to patients and checking names and addresses.
3. Cover all reception positions as necessary.
4. Taking messages and passing on information.
5. Processing personal and telephone requests for appointments, telephone consultations, and ensuring callers are directed to the appropriate healthcare professional.
6. Initiating contact with and responding to requests from patients, other team members, and associated healthcare agencies and providers.
7. Ensure that the system is operational at the beginning of each day and switched over to night service and that the answer phone is operational at the end of each day.
3. APPOINTMENT SYSTEM MANAGEMENT
1. Book/edit/cancel appointments and recalls ensuring sufficient information is recorded to retrieve medical records.
2. Monitor effectiveness of the system and report any problems or variations required.
3. Deal with home visit requests, carefully noting all details.
4. Arrange transport to hospital appointments for housebound patients.
4. MEDICAL RECORDS MANAGEMENT
1. Ensure that all records are accurately compiled in advance for each consulting session.
2. Retrieve and refile records as required, following records management processes.
3. Ensure correspondence, reports, results, etc., are filed in the correct record.
4. Processing repeat prescriptions in accordance with practice guidelines.
5. Handing completed repeat prescriptions to patients and checking names and addresses.
5. CONSULTATION ROOM PREPARATIONS
1. Clearing and re-stocking of consulting rooms as required.
2. Consulting rooms prepared in readiness for each consulting session.
3. Rooms are checked at the end of each consulting session and left tidy and secure.
