About the role
Our purchasing function is a dedicated team working with high involvement and quick response times. We deliver cost effective solutions to ensure the best in practice procurement process for AAK. As purchasing assistant you will cover mainly the following areas:
1. Documentation from our purchasing operations.
2. Supporting the organization in placing orders with suppliers.
3. Supporting the organization and suppliers on updates in our supplier database SIM.
4. Manage daily tasks/issues, mainly in our operations in the UK but also in close alignment/cooperation with the European Procurement Team.
5. You will be responsible for keeping all purchasing documentation in good order and monitoring our purchasing e-mail.
In your role you serve both internal and external stakeholders and you feel dedicated to continuously improving our working methods and processes.
At AAK we are frequently collaborating through video meetings and other digital tools which will be a natural part of your daily work. Travelling abroad, mainly to AAK locations in Europe (Amsterdam, Aarhus, Karlshamn) might occur a few times a year.
Responsibilities
In this role your main responsibilities are:
1. Control of supplier and product approval documentation; input of data into database, liaising with suppliers to ensure compliance, monitoring completion and out of date information.
2. Control of the contract database; input of data into the database, recording of negotiated savings, maintenance of physical documentation.
3. Maintenance of SAP master data; ownership of all procurement master data and MDG flows, update of contract, pricelists, source lists, and other relevant material and vendor data.
4. Procurement excellence; support the development of procurement process and procedure with the team; production and control of SOP and process documentation.
5. Support non-procurement staff on process, policy and procedure through informal training. Update and distribute process changes to relevant stakeholders and provide additional support as required.
6. Auditing of Policy and Procedural Compliance; Audit Purchases made to ensure D&A/Procurement Policy compliance; Reporting and following up non-compliance with Procurement Manager.
About you
To be successful in your role you have:
1. Relevant education preferably from purchasing, supply chain or logistics or the equivalent work experience.
2. Prior experience from working in an international business environment with administrative tasks.
3. Pro-active and result-oriented mindset.
4. Service minded and agile.
5. Customer focus is important to you and you appreciate building long-term relations.
6. You have good communication skills and see the great benefits of effective communication and dialogue.
7. A structured way of working and interest to interact with necessary stakeholders as well as colleagues.
