Summary of Position
This is an in-person role and part of the Administration/Finance Team, to provide receptionist duties and administrative support. The duties are varied and the role is ever-evolving, as a result, flexibility and using your own initiative is critical. You will complete a Business Administrator Level 3 Apprenticeship alongside the role whilst gaining experience on the job. This will be fully supported by Principal.
Responsibilities
1. General Reception duties: Answering incoming calls, door entry system and switchboard operation; maintaining the meeting room booking system; making refreshments for visitors.
2. Post, including in/outbound correspondence and deliveries.
3. Monitoring of various email inboxes.
4. Stationery, office supplies, and uniform ordering and auditing.
5. Maintaining a tidy stationary cupboard.
6. Scanning of documents to an in-house system.
7. Cleaning and replenishing the coffee machine.
8. Data entry (into Excel spreadsheets).
9. Contracts Administrative Support to the Administration Department: filing, creating orders via our Sales Order Processing Systems, ensuring information on our ticketing system is up to date, liaising with all stakeholders internal and external, assisting in monitoring and maintaining relevant internal processes, and general ad-hoc administration & support, including producing & sending out price increase letters.
10. Purchase Ledger Admin Support to process 1st line invoices/credit notes onto the accounting system.
