EEAST is seeking an experienced administrator to provide support to the Director of People Services.
The post holder will be responsible for providing efficient and effective administrative support to the Business Excellence Office. This role plays a crucial part in ensuring the smooth running of the office and supporting the delivery of critical regulatory work and high-quality services.
The post holder is required to support the Deputy Director of People Services ensuring that all administrative work is completed, as required, with accuracy and within set timeframes.
The post holder should have experience of working in an HR Department and have wider understanding of the HR functions.
The Personal Assistant will provide a comprehensive administrative function involving:
• The coordination of meeting requests and diary management.
• Preparation of agendas.
• Maintaining records for regulatory work as evidence.
• Minutes, as appropriate, and any necessary follow up actions.
This role offers agile working allowing post holders to work from home with occasional travel across the Trust region and an office base available at Melbourn (Trust Headquarters in Cambridgeshire).
The main duties will be to coordinate and maintain accurate and up-to-date filing systems, both electronic and paper based, ensuring confidentiality and data protection.
In addition, there will be a requirement to process invoices, recording Team leave, and arranging mandatory training for the People Services Directorate Team.
The post holder will be expected to use their initiative and be able to work unsupervised, undertaking projects as and when necessary.
The post holder will also be required to communicate effectively and efficiently with all levels of management and staff, displaying a high level of tact and diplomacy at all times, and processing sensitive information confidentially.
The post holder will be responsible for Recruitment Administration of the service, including coordinating vacancies, creating and uploading job vacancies on TRAC, assisting with recruitment activities, coordinating paperwork, offer letters, and onboarding arrangements for the successful appointment.
