MedMatch Group is a leading healthcare recruitment agency, providing top-tier staffing solutions globally. We are looking for an experienced and organised Office and Operations Manager to ensure the smooth running of our growing operations and team.
Job Overview:
We are seeking a highly experienced Office and Operations Manager to oversee daily operations, manage a team of 8 closely, and support up to 45 employees. You will be responsible for ensuring smooth business functions, managing resources, monitoring performance, and supporting key administrative and operational areas, including Marketing, Compliance, IT, and general office management.
Fully Office based, Permanent – Hours of work 8:45am -6pm Monday – Friday
Key Responsibilities:
1. Team Leadership: Manage and support closely a team of 8, providing guidance and ensuring alignment with business performance and supporting Directors with projects.
2. Overseas Worker Management: Oversee the performance of overseas workers, ensuring effective communication and productivity.
3. KPI & CRM Monitoring: Use Vincere CRM to track KPIs, monitor data, spot any gaps of inefficiencies and resolve problems.
4. HR & Onboarding: Oversee the onboarding process for new employees, ensuring smooth integration and compliance, manage HR process with third party support.
5. Health & Safety & Insurance: Ensure workplace compliance with health and safety regulations.
6. Car Park Management: Manage parking allocations and access for employees.
7. Financial Support: Assist the Finance Manager with monthly operations budgets, expenses, and receipts.
8. Event Management: Organisation of work events internally e.g. Christmas Party.
9. IT & Communications: Oversee internal IT systems and VOIP communication, working with third-party providers for support.
10. Office Operations & Supplies: Manage office resources, including shopping supplies, stationery, and ensuring the office environment is well-stocked and organised.
Minimum Requirements:
* Proven experience in a similar role, with a solid background in office and operations management, ideally within the recruitment industry.
* Strong knowledge of CRM systems (Vincere preferred) and KPI tracking.
* Experience managing office supplies, resources, and general office administration.
* Excellent communication and people management skills.
* Experience with health and safety, data monitoring/management, financial management, and IT systems.
* Highly organised, with the ability to handle multiple tasks and meet deadlines.

Salary - £35,000 Annual Bonus
