We are looking for an Administrative Coordinator to join our Building Services commercial team in London.
Working as an Administrative Coordinator, you will support a small team who review bids and tenders and deal with operational commercial and contractual issues across FM and MEP projects by providing proactive and highly organised administrative support and coordination duties. Tracking activities and progress across a variety of short-term projects and tenders, whilst managing your own mini-projects and coordination with a variety of teams.
What you'll do:
* Perform general administrative duties to support a small four-person team such as assisting in the preparation of reports, presentations, and correspondence.
* Manage calendar, coordinate meetings, projects and issues for the team lead including some email management with a strong focus on document storage and tracking.
* Build project plans and track activities in Microsoft Planner and track activities in Loop or To Do.
* Monitor tenders and projects progress and handle any issues that arise.
* Maintain comprehensive project documentation, plans, and reports.
* Facilitate communication among team members to ensure alignment on tasks and deadlines.
* Enter/extract data into company databases accurately and efficiently.
What you'll bring to the role:
* High proficiency in MS Office (Word, Excel, Planner, Loop, To Do, PowerPoint) and other relevant software.
* Ability to handle and prioritise multiple tasks simultaneously while maintaining accuracy with excellent attention to detail.
* Effective written and verbal communication with proven ability to handle discrete matters in confidence.
* Culturally sensitive and professional demeanour with strong interpersonal and organisation skills.
* Ability to work independently with minimal supervision.
Ability to hold and maintain UK Security Clearance – minimum 5 years UK residency required.
This role requires a minimum level of security clearance and may also require a higher level of National Security Vetting. You should be aware that certain levels of clearance or specific projects and/or sites have UK residency requirements; and any dual or multiple nationalities must be declared. Any persons who do not fulfil these residency requirements may be unable to obtain the required level of clearance and would not be eligible to undertake this role.
