Duties include:
1. Develop and maintain a documentation repository - Internal / External
2. Collaborate with various departments to gather information and requirements
3. Work closely with the Project Support Officer and internal teams on documentation requirements
4. Ensure proper version control and document management practices
5. Handle documentation requests and inquiries from internal and external stakeholders
6. Coordinate with external vendors and contractors for documentation needs
7. Ensure all documentation is accurate, up-to-date, and easily accessible
8. Key-user of the Document Management Solutions (DMS) (e.g. Sharepoint, One Drive, etc.)
9. Administrator and co-owner of the project room (e.g. Think Project)
10. Maintain lists, set up folder and permission structure
11. Arrange accounts and permissions for team members
12. Analyze and translate the requirements for technical documentation and data management (DDM) - considering the interfaces and dependencies, definition of prerequisites and implementation of a DDM structure in the project.
13. Implement and adjust the DDM-tool (Sharepoint, Think Project) and organize necessary trainings for project members.
14. Align and manage the overall content-based documentation structure (i.e. Templates, Instructions, etc.).
15. Define, structure, align and manage the basic KKS structure, DCC and short texts according to applicable standards (i.e. VGB framework).
16. Define, structure, align and manage the IRL and metadata-set according to applicable standards (i.e. VGB framework).
17. Define, structure, align and manage the C2-part of the ITT and related appendices.
18. Project specific adjustments of standard workflows for reviews and definition of formal and content-based criteria for engineering-reviews.
19. Manage and track engineering reviews including status reporting for value of work done (initiating, challenging, reminding, following up)
20. Provide budget information for "as built" and final documentation - related tasks (external parties).
21. Contribute, structure, align and manage the DDM-related hand-over/take-over process.
22. Steer document administration and control as well as external partners for DDM.
Skills required:
1. Your professional skills include an expert understanding of various document management systems (MS SharePoint, One Drive, Teams, Think Projects etc.)
2. At least 5 years of professional experience in Engineering, Procurement and Construction of industrial buildings.
3. Your personal competencies include a structured, accurate and efficient way of working.
4. High level of initiative and team spirit. Flexibility and reliability.
