Job Description
Purpose
To provide day-to-day administration support to the project team in support of the business plan.
Specific Responsibilities
1. Ensure that United Living HSE&Q standards, operating processes, company policies, and all legislative requirements are understood, implemented, and adhered to at all times.
2. Learn and understand the United Way of working ensuring that the processes are complied with and adopted into your daily disciplines.
3. Undertake and complete a range of administration tasks to support the site office/team.
4. Provide a comprehensive administration service to all projects/offices/department as required.
5. Create and format documents in Word, Total Mobile, and Excel for presentation or reporting purposes as required.
6. Manage the survey function on Total Mobile during the pre-works period, highlighting potential issues in good time.
7. Produce a weekly summary report on current project status for the pre-works period, highlighting potential issues.
8. Communicate with clients by letter/telephone to make appointments and obtain Waiver from refusing all or certain elements of the works at the survey stage.
9. Liaise with clients to resolve problems/issues at the earliest opportunity.
10. Filing, scanning, and uploading of documents during pre-works, works in progress, and through the handover period to practical completion, ensuring hard copy documents related to the project/s are archived in accordance with the Company’s Document Management System.
11. Compile and produce project-specific Health and Safety Files and O & M manuals as required.
12. Keep up to date property notes on Total Mobile to ensure the latest information is available to the project team.
13. Assist in the production of site literature.
14. Provide support as required to members of the Division.
15. Maintain the Divisional Archiving system in accordance with company procedures. Undertake the archiving of completed documents as required.
16. Maintain office systems and databases including site files, health and safety files, and associated documentation in line with company procedures.
17. Ensure the registering, issuing, scanning, and filing documents is accurate and timely.
18. General office duties including typing, scanning, and filing as required.
19. Any other duties as assigned.
Criteria
1. Maths and English – A-C GCSE or equivalent.
2. UK Drivers licence and/or willingness to travel to various work sites possibly within the same working day.
3. Knowledge of IT skills particularly Microsoft Office, and a desire to extend knowledge on software packages further.
4. Resilient under pressure and understand the need for discretion and respect in a public-facing role.
5. Confident to manage difficult situations.
6. Good communicator, well organised with good time management skills.
7. Strong written and oral communication skills.
8. Previous experience in a similar administration role.
